We are seeking a Program Operations Coordinator to join our team and be a key support to the VP of Marketing, Communications & Engagement in helping to ensure that current evidence-based food allergy information reaches and effectively informs the people who need it most — Healthcare Professionals, Patients, and Caregivers. In this position, your role will largely revolve around translating evolving clinical research and guidelines into clear, accessible education across our multiple channels, including online learning platforms, webinars, website content, and research resources.
You will play a critical role in keeping our educational tools accurate, current, and aligned with emerging evidence and clinical guidance, while also supporting healthcare engagement initiatives and advisory processes. You will deliver strong project management, timelines, clarity and detail to your portfolio of assignments and you are naturally very organized and take pride in what you do.
You are passionate about health education and evidence-based communication and enjoy working within a small marketing team environment.

What You’ll Do:
Knowledge Monitoring & Research
- Maintain, update and keep highly organized a centralized research repository to ensure all materials reflect current evidence.
Digital Learning & Education Platforms
- Oversee the management of a robust online learning platform and be heavily involved during a new website build when that content is repurposed / reformatted.
- Continuously update and maintain the accuracy of this content to reflect new evidence and clinical guidance before, during and after the new website build – ongoing.
- Coordinate annual content reviews and ongoing updates with internal, cross functional teams and external providers.
Webinars & Virtual Education
- Coordinate webinar programming from end to end, inclusive of:
- Liaising with expert speakers
TALENT ARTS
- Scheduling rehearsals
- Developing promotional and registration materials
- Creating pre-event and post-event surveys
- Summarizing participant feedback and outcomes
Healthcare Professional Engagement
- Support the VP of Marketing, Communications & Engagement in identifying priority healthcare conferences and engagement opportunities
- Track healthcare conferences and scientific meetings to discover relevant insights and look to identify engagement opportunities
- Assist with conference submissions, exhibits, and educational outreach planning
Advisory & Stakeholder Support
- Coordinate logistics and administration for our healthcare board
- Prepare agendas, schedule meetings, and manage materials for review
- Track feedback and support follow-up actions
Surveys & Reporting
- Support analysis and reporting of results to inform program improvements
Educational Materials & Inventory
- Ensure materials remain accurate and aligned with current messaging
What We’re Looking For:
- 3–5 years of experience in program coordination, program operations, healthcare administration, education, nonprofit operations, or a related field.
- Experience coordinating multiple projects or programs simultaneously.
- Experience working with external stakeholders, vendors, or subject matter experts.
- Experience preparing meeting agendas, minutes, and supporting committees or advisory groups.
- Experience maintaining content across websites, online learning platforms, or digital resources.
- Strong writing, editing, and content development skills
- Ability to translate scientific or clinical information into accessible, audience-friendly content
- Strong organizational skills and ability to manage multiple priorities
Nice to Have:
- Experience in healthcare, nonprofit, or patient advocacy environments
- Familiarity with healthcare professional education or conference engagement
- Experience supporting advisory committees or expert panels
