ABOUT CSPL

Since 1998, the Canadian Society of Physician Leaders (CSPL) has helped physicians succeed in healthcare leadership and management roles. We are a non-profit organization that seeks out opportunities and partnerships to provide Canadian physician leaders with forums for education and networking, expose them to quality leadership development programs, recognize physicians in the healthcare system, and provide member-valued tools and resources.

ABOUT THE ROLE

The Program Manager coordinates and supports the operations of several of CSPL's signature programs. Reporting to the Executive Director, this role manages the Canadian Certified Physician Executive (CCPE) credentialing program from initial inquiry through to the award ceremony, serves as Managing Editor of the Canadian Journal of Physician Leadership (CJPL), oversees registration for CSPL's national conference, and supports key membership and communications activities through the organization's membership management system.

This is a varied, detail-oriented role with a predictable annual rhythm. The Program Manager works closely with senior physician leaders, peer assessment panels, editorial board members, and external organizations, and is entrusted with managing confidential information and communications with a high degree of discretion and professionalism.

KEY RESPONSIBILITIES

1. CCPE Credential Program

  • Manage the annual CCPE cycle, from applicant inquiries and forms to organizing application packages and referee assessments.
  • Prepare applicant summaries and support the Peer Assessment Panel’s meeting, decisions and report to the CSPL Board.
  • Handle confidential correspondence, decision letters and the five-year recertification process.
  • Update bilingual forms annually and coordinate certificates and recipient recognition at the annual conference.

2. Managing Editor, Canadian Journal of Physician Leadership

  • Manage submissions, peer review and production of this quarterly journal, working with the Editor-in-Chief, copy editor and web designer.
  • Keep each issue on schedule, notify authors on publication and prepare the member announcement.
  • Support the journal’s planned move to an online manuscript submission and peer-review management platform in 2027.

3. Canadian Conference on Physician Leadership

  • Build the bilingual online registration site, including workshops, pre-conference courses and promo codes.
  • Report weekly registration statistics and coordinate group registrations and invoicing.

4. Membership, Communications and Administration

  • Review and refine content of the bi-weekly member e-newsletter; manage paid job postings for client organizations; and create and distribute targeted member communications.
  • Maintain membership renewals, the coaching directory and related invoicing in CSPL’s membership system.

WHAT YOU BRING

  • Five years of relevant experience is preferred; candidates with an equivalent combination of education, training and experience will also be considered.
  • Experience in program, project, association, or operations management within a non-profit, membership-based, healthcare, academic or professional organization is an asset.
  • Exceptional organization and attention to detail, with the ability to manage multiple programs, competing priorities and deadlines independently.
  • Strong technology skills, including experience with membership or association management systems (CRM), online registration platforms, Microsoft Office, Google Workspace, and cloud-based file management tools.
  • Excellent written communication skills and a polished, professional approach to correspondence with senior physicians, volunteers, authors, reviewers, and external partners.
  • Sound judgment and discretion when handling confidential information, assessments, and sensitive communications.
  • Experience supporting peer-reviewed journal workflows, including manuscript tracking, reviewer coordination, editorial correspondence, and publication processes, is considered an asset. Familiarity with online journal management platforms, such as Open Journal Systems (OJS), would be beneficial.
  • Event registration, conference coordination or member-based event management experience.
  • Experience using AI platforms and productivity tools to streamline workflows, improve operational efficiency, automate routine administrative tasks, and support program delivery.
  • Working knowledge of French is considered an asset.
