Position Details
- Employment Type: Full-time, Contract (until March 31, 2027)
- Reports to: Volunteer Manager
- Direct Reports: N/A
- Salary Range: $60,000-70,000 annually with benefits and 3 weeks paid vacation
- Work Environment: CivicAction’s work is a hybrid workplace that combines both in-office and remote work. CivicAction’s physical offices are in downtown Toronto and technology will be provided to support both in-office and remote work. This position may involve some evening and weekend work.

Position Purpose
The Program Coordinator plays a pivotal role in the successful delivery of a new CivicAction program, which will connect young people to meaningful volunteer placements within organizations addressing critical societal issues, such as housing, affordability, and equitable prosperity.
Reporting to the Volunteer Manager, the Program Coordinator will provide support related to the creation and execution of all operational administration of a new volunteer program, including reporting to program funders and attracting and retaining youth volunteers.
Key Accountabilities:
- Administrative Support: Provide administrative support to volunteers taking part in the volunteer program, including the tracking of receipts and expenses, and processing of invoices for volunteer meals, transportation, and more.
- Program Administration and Financial Oversight: Maintain Volunteer Management Systems (VMS) and Customer Relationship Management databases (i.e. Hubspot), providing the volunteer team with regular reporting on volunteer data, and ensuring the VMS is useable and effective for volunteers; maintain thorough financial records and support the Volunteer Manager and the Bookkeeper in overseeing program budgets and expenses.
- Evaluation and Reporting: Track and assess evaluations and key performance indicators (KPIs) throughout program delivery and support the completion of all reporting requirements.
- Program Outreach and Event Support: Support with event coordination for volunteer training; conduct outreach to support the successful recruitment of volunteers and placement host organizations.
Qualifications and Skills
Required Education, Certification and Experience:
- A minimum of 3 years of relevant work experience in the areas of program and financial administration, project coordination, event planning and/or documentation, monitoring and reporting. Relevant college/university degree is an asset.
- Demonstrated experience providing administrative support in the delivery of high-impact programs and events, including those that are federally funded.
- Demonstrated experience successfully managing key stakeholder relationships, including external partners and contributors, internal stakeholders, and/or program participants.

- Nice to have: Experience in research to inform program design, development, and implementation
- Nice to have: Proven success in program evaluation and monitoring, including the development of surveys and focus groups, as well as internal progress reporting
