Salary/Wage: $23.24 - $25.40 per hour.

Wages commensurate with qualifications and experience.

As a charity igniting the potential in people, we are seeking a Program Assistant to support our Community Initiatives and Employment Services teams, by providing administrative and logistical support and coordination, including managing calendars, scheduling meetings, preparing documents and maintaining files.

Responsibilities:

  • Manage and organize schedules and appointments.
  • Coordinate meetings, conferences and video calls.
  • Handle communications, including emails, phone calls and correspondence.
  • Prepare and organize reports, presentations and documents.
  • Make travel arrangements, including flights, accommodation and itineraries.
  • Act as a point of contact between the Director and stakeholders.
  • Conduct research to provide relevant information to support decision-making.
  • Handle confidential information with discretion.
  • Coordinate and organize events.
  • Assist in special projects and ad-hoc tasks as required.

Job Requirements:

  • Be a minimum of 18 years of age.
  • Be legally entitled to work in Canada.
  • Have current and satisfactory Criminal Reference Check and Vulnerable Sector Search issued no later than ninety (90) days preceding your start date.
  • Have minimum Class G Driver’s License; own vehicle and be willing and able to travel throughout Grey and Bruce Counties.
  • Provide 3 professional references.
  • Have a post-secondary education in business administration or a related field.
  • Have proven experience as an Executive Assistant, Program Assistant or similar role.
  • Have proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Have commitment to excellent customer service while demonstrating YMCA Mission, Vision and Values when interacting with others.
  • Have excellent organizational skills and multitasking abilities.
  • Have strong written and verbal communication skills.
  • Have the ability to handle confidential information with discretion.
  • Be detail oriented with excellent problem solving skills.
