This is a 52-week, 20-hour-per-week contract role. We want to be transparent: for the right candidate, this position has a clear pathway to a full-time Program Lead role within the term. Track3 is in an active growth phase — we are building our team, expanding our programs, and investing in the people who invest in us. We are not looking for someone to fill a position. We are looking for someone who wants to help build an organization and grow with it.
ABOUT ONTARIO TRACK3
Ontario Track3 Adaptive Sports Association is a volunteer-powered charity with over 50 years of experience delivering adaptive sport programs for children and youth with disabilities. With 405 volunteers, 11 program sites, and programs in alpine skiing, snowboarding, snowshoeing, nordic, and hiking, Track3 believes sport has the power to build confidence, belonging, and community — in every season.
In the Grey County region, Track3 currently delivers five winter programs. This role is part of our next chapter: expanding reach year-round to serve families waiting for access to inclusive, adaptive recreation — and building the organizational systems that allow us to do that sustainably.
ROLE OVERVIEW
The Program Assistant will work closely with Track3's Program Leadership across two connected areas of responsibility: taking a leading role in piloting the new off-snow programming that will extend Track3's reach beyond the winter season in the Grey-Bruce Region, and actively contributing to the delivery and growth of Track3's existing alpine programs.
This role is designed with knowledge transfer at its core. You will be embedded in Track3's program operations from day one — learning how programs run, documenting what you learn, and progressively taking ownership of defined workflows. The goal is that by the end of the term, the organization's program knowledge lives in systems and people — not in any single individual.
Candidates residing in or near Collingwood and the Blue Mountain area are strongly preferred, as the role requires regular local presence to support program delivery, site visits, and community relationship-building.
GROWTH & KNOWLEDGE TRANSFER — WHAT THIS ROLE IS REALLY ABOUT
- Actively learn all core program workflows — alpine and off-snow — alongside Program Leadership, with the explicit goal of being able to execute them independently by mid-contract
- Own the documentation of assigned workflows in Track3's shared operational system — this is a formal deliverable of the role, not a background task
- Progressively take on greater ownership of coordination, communications, and logistics functions — with increasing independence as the term advances
- For a candidate who demonstrates program leadership capability and organizational fit, this role has a clear and supported pathway to an expanded full-time mandate within Track3

KEY RESPONSIBILITIES
- Adaptive Hiking & Off-Snow Program — Primary Focus
- Co-lead the planning and coordination of spring and fall adaptive hiking programs in Grey County — incorporating feedback from staff, volunteers, families, and youth from the outset
- Own participant registration, intake, and family communications for the hiking pilot — ensuring a welcoming, accessible experience for families of children with physical and cognitive disabilities
- Take responsibility for route assessment coordination with community hiking partners — scheduling site visits, documenting findings, and translating those findings into program-ready formats
- Prepare and own program materials, participant guides, and accessible communications for each hiking program
- Lead day-of program logistics — volunteer coordination, on-site facilitation, and participant support — under Program Leadership direction
- Track attendance, participation data, and satisfaction feedback independently; produce evaluation summaries for reporting
- Off-Snow Program Development
- Research and document accessible trails and outdoor recreation sites across Grey County suitable for adaptive hiking — producing a reference resource for Track3's off-snow expansion
- Lead the identification and cultivation of new community partnerships and host site relationships in the region
- Own the development of reusable program templates, run-of-show documents, and volunteer training materials for seasonal hiking programs — these become organizational assets
- Explore future off-snow programming opportunities that could serve Track3's waitlisted athletes and expand year-round reach; bring structured recommendations to Program Leadership
- Document lessons learned from each pilot season in a format designed for program scale-up across Ontario
- Alpine Program Contribution
- Work alongside Program Leadership in preparing for and delivering Track3's alpine season — taking ownership of defined logistics, scheduling, and coordination tasks as your knowledge develops
- Own athlete registration, intake documentation, and family communications for alpine programs — ensuring a smooth, welcoming experience for participants and caregivers
- Take responsibility for volunteer communications for alpine programs — scheduling, pre-season onboarding, day-of logistics — progressively and with full independence by mid-season
- Track alpine program metrics, attendance, and athlete progress notes independently; contribute to Track3's program evaluation with organized, timely data
- Identify waitlisted athletes and coordinate with families to maintain engagement between seasons — bridging families into off-snow programming opportunities
- Volunteer & Community Engagement
- Own volunteer recruitment, onboarding, and coordination for both alpine programs and the hiking pilot — maintaining organized records and consistent, professional follow-up
- Build and maintain relationships with local organizations, caregivers, and community members involved in program delivery
- Capture participant stories, photos (with consent), and volunteer highlights to support Track3's communications and grant reporting — delivered to the Marketing & Events Coordinator on an agreed schedule
- Organizational Systems & Administration
- Own the documentation of all program workflows assigned to this role — stored in Track3's shared digital systems and maintained to a standard that any team member could follow
- Contribute to grant documentation and reporting by organizing program data, participant outcomes, and supporting evidence — in coordination with the Development Officer
- Support logistics for fundraising and community events as assigned
- Maintain organized shared files and records using Track3's digital tools — model the organizational discipline Track3 is building into its systems
WHAT WE'RE LOOKING FOR
- Experience or education in recreation, social work, disability services, outdoor education, or a related field
- Genuine interest in adaptive sport, inclusive recreation, and supporting children and youth with disabilities
- Strong organizational skills with the ability to manage multiple tasks and deadlines independently in a hybrid environment
- Excellent written and verbal communication skills — particularly with families and community partners
- Comfortable working in outdoor and community settings across seasons
- Valid driver's licence and reliable access to a personal vehicle — required for travel to program sites
- Resident of or strong familiarity with the Collingwood / Blue Mountain area preferred
- Volunteer management or event coordination experience is a strong asset
- Familiarity with AI tools (e.g. Claude, ChatGPT) for drafting, organizing, and documentation tasks
