
Procurement Manager (Unpaid Volunteer)

Overview
The Procurement Manager plays a critical leadership role in ensuring the Etobicoke Humane Society’s shelter operations are well-supported through effective, ethical, and cost-conscious procurement practices. This role oversees sourcing, contracting, vendor management, and purchasing across all areas of the organization — including animal care supplies, pet food, cat litter, facilities materials, office supplies, and other operational needs.
This volunteer leadership position helps EHS maximize limited resources while maintaining high standards of quality, reliability, and accountability. The role works closely with Facilities, Dog, Cat, Office, and Fundraising teams to ensure procurement decisions align with operational needs and organizational priorities.
This is a flexible hybrid role requiring approximately 8–10 hours per week.
What You’ll Do
Lead Procurement Strategy & Operations
- Develop and oversee procurement processes for shelter-wide needs, including animal care, facilities, and office operations.
- Establish purchasing standards and best practices to ensure consistency, transparency, and cost-effectiveness.
- Identify opportunities for bulk purchasing, donations, sponsorships, or long-term supply contracts.
Vendor Sourcing & Contract Management
- Source, evaluate, and negotiate with vendors and suppliers (e.g., pet food, pet supplies, facilities materials, office supplies).
- Lead procurement efforts for larger contracts, including pet food or facilities-related agreements.
- Manage vendor relationships, monitor performance, and resolve issues as they arise.
- Ensure contracts and purchasing decisions align with EHS policies and ethical standards.
Cross-Functional Collaboration
- Work closely with Dog, Cat, Facilities, and Office teams to understand procurement needs and timelines.
- Support program leads in forecasting supply requirements and planning ahead for seasonal or growth-related needs.
- Coordinate with Finance or Board representatives as needed for budget visibility and reporting.
Team Leadership & Coordination
- Provide guidance and oversight to volunteers supporting procurement, sourcing, or inventory-related tasks.
- Delegate work appropriately and ensure follow-through on procurement activities.
- Support the development of clear workflows and documentation for procurement-related activities.
Reporting, Documentation & Oversight
- Maintain records of vendors, contracts, pricing, and procurement decisions.
- Track procurement-related expenses and savings for leadership or Board review.
- Identify risks, gaps, or inefficiencies and recommend improvements.
Qualifications
- 3–5 years of experience in procurement, supply chain management, vendor management, or a related field.
- Demonstrated experience managing or leading teams (staff or volunteers).
- Strong negotiation, vendor evaluation, and contract management skills.
- Excellent organizational and prioritization skills with strong attention to detail.
- Ability to work independently while collaborating across multiple teams.
- Strong written and verbal communication skills.
- Comfort working with digital tools for tracking, documentation, and communication.
- Understanding of nonprofit or resource-constrained environments is an asset.
Time Commitment
- 8–10 hours per week, flexible scheduling.
- Hybrid role with occasional on-site involvement as needed.
