About the Position:
The President’s Office Assistant provides high-level administrative and organizational support to the President of Wycliffe Canada. This individual helps ensure the President’s time, communication, and relationships are managed effectively and in alignment with Wycliffe’s mission and priorities.
The role is a key part of the President’s Office—balancing confidential executive support with practical coordination of the Langley office and hospitality for visitors and partners. The ideal candidate is proactive, detail-oriented, and comfortable supporting a senior leader whose work spans board relations, partnership engagement, and spiritual leadership.
Key Responsibilities
President’s Office Administrative Support
- Manage the President’s calendar, appointments, and scheduling priorities.
- Coordinate travel arrangements (flights, accommodation, transportation) and prepare travel briefs.
- Prepare and organize briefing materials for meetings led or attended by the President (e.g., Senior Leadership Team, Board sessions, partner visits).
- Provide support for the President’s email and correspondence, ensuring timely responses and follow-ups.
- Track key action items and assist with communication follow-through where needed.
- Prepare expense reports and administrative documentation related to the President’s functions.
- Handle confidential information with discretion and professional judgment.
President’s Office Coordination
- Facilitate clear communication between the President, Senior Leadership Team, and Board of Directors.
- Support the preparation and distribution of Board and SLT materials (provided by others) and assist with logistics for meetings and events.
- Draft and edit internal correspondence, announcements, and updates on behalf of the President.
- Coordinate logistics for the President’s events, including donor gatherings, retreats, and visits from national or international partners.
- Maintain a welcoming and professional tone in all communications on behalf of the President’s Office.
Langley Office Support and Hospitality
- Provide light administrative and logistical support for the Langley office (a small four-office workspace), ensuring a warm and organized environment for staff and visitors.
- Oversee basic office and kitchen upkeep, including supplies, coffee and refreshment stocking, ensuring shared spaces remain neat and welcoming..
- Coordinate deliveries and meeting space bookings as needed.
- Serve as a friendly point of contact for visiting mission partners and donors.
Qualifications
- 3+ years of experience as an executive or administrative assistant supporting senior leadership (preferably within a nonprofit or faith-based organization).
- College diploma or relevant certification.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Discretion and sound judgment in handling confidential information.
- Ability to manage multiple priorities and meet deadlines with a service-minded approach.
- Proficiency in Google Workspace, Microsoft Office Suite, Zoom, and a willingness to learn new software.
- Understanding of and alignment with Wycliffe Canada’s mission and Christian values.
- Willingness to participate in Wycliffe Canada’s spiritual enrichment activities (e.g., The Listening Table, Day of Prayer, spiritual retreats).
- Legally eligible to work in Canada.
- Clear criminal record and credit check.
- Agreement with Wycliffe Canada’s Statement of Faith, Standard of Conduct, and Conflict of Interest Policy.
