ABOUT HARVEST HOUSE MINISTRIES

Harvest House Ministries is a long-term residential addiction recovery program in Ottawa serving men seeking freedom from addiction and a new direction in life. Our work combines structured recovery support, life skills, community, accountability, and practical opportunities for residents and graduates to rebuild their lives.

POSITION SUMMARY

Harvest House Ministries is seeking a practical, steady, and mission-minded Phone-Room Supervisor & Sales Coordinator to support our fall fundraising operations.

This is an onsite role with required availability for Monday to Thursday evening phone-room sessions and Friday afternoon coverage.

This is a full-time contract role with the possibility of extension, depending on organizational need, performance, and funding.

The immediate priority of this role is to supervise and strengthen our phone-room fundraising work during the fall calendar campaign. The successful candidate will help maintain a professional, disciplined, and encouraging phone-room environment; support callers; ensure proper donor-call procedures are followed; and provide basic reporting and follow-up.

The role also includes a secondary sales and coordination function connected to Harvest House's garment services and sponsorship opportunities, including direct-to-film printing, embroidery, branded apparel, and community/business outreach.

This role is best suited to someone who is comfortable with both people and process: able to supervise a room, coach callers, follow procedures, track details, and build relationships with donors, customers, and community contacts.

KEY RESPONSIBILITIES

Phone-room supervision and fundraising operations:

  • Supervise phone-room sessions, primarily Monday to Thursday evenings and Friday afternoons.
  • Maintain punctuality, professionalism, call discipline, and room expectations.
  • Support callers with coaching, encouragement, and correction where needed.
  • Ensure donor-call procedures are followed, including sales verification and proper handling of sensitive donor/payment information.
  • Track daily phone-room activity and provide clear reports to management.
  • Escalate donor concerns, complaints, "take off list" requests, or process issues appropriately.
  • Help strengthen consistency, morale, and accountability in the phone room.

Sales and outreach coordination:

  • Learn Harvest House's garment services, including direct-to-film printing, embroidery, branded apparel, quoting basics, and order workflow.
  • Support outreach to churches, schools, businesses, community groups, teams, and potential sponsors.
  • Follow up on leads, quotes, and customer inquiries.
  • Help identify practical opportunities for garment orders, sponsorships, and community partnerships.
  • Maintain simple records of leads, quotes, orders, and follow-up actions.

Administration and coordination:

  • Work closely with the Director of Client Services & Administration and other team members.
  • Participate in training related to phone-room procedures, donor privacy, payment-handling boundaries, and garment-service workflow.
  • Help document processes and improve consistency in the phone-room operation.
  • Provide weekly updates during the initial onboarding period.

REQUIRED QUALIFICATIONS

  • Experience in sales, fundraising, customer service, call centre work, team supervision, or a similar people-facing role.
  • Ability to work onsite during required phone-room shifts.
  • Strong communication skills and comfort speaking with donors, customers, residents, graduates, staff, and volunteers.
  • Ability to supervise with firmness, respect, and consistency.
  • Good judgement with confidential information and donor/payment-related procedures.
  • Organized, dependable, and able to follow established processes.
  • Alignment with the mission and values of Harvest House Ministries.

ASSETS

  • Experience in nonprofit fundraising, donor relations, community outreach, or social enterprise.
  • Experience with phone-based sales, coaching callers, or supervising a small team.
  • Experience with custom apparel, promotional products, embroidery, DTF printing, quoting, or small-business sales.
  • Connection to the recovery community, faith-based service, or residential program environments.
  • Familiarity with basic CRM, order tracking, spreadsheets, or reporting tools.

COMPENSATION

$24-$28/hour, depending on experience.

CONDITIONS OF EMPLOYMENT

The successful candidate will be required to complete reference checks, a background check, and training related to donor privacy, phone-room procedures, and appropriate handling of sensitive information.
