The Parish Administrator serves as the central administrative support for the parish, ensuring the smooth, efficient, and welcoming operation of the church office. This role combines administrative, secretarial, and hospitality responsibilities, with a strong emphasis on excellent customer service to clergy, staff, parishioners, volunteers, and visitors. The Parish Administrator is often the first point of contact for the community and plays a key role in supporting the mission and ministries of the church.
Key Responsibilities
Administrative Support
- Prepares the weekly Sunday bulletins for three services and special bulletins as required. Liaises with the Incumbent, Music Director, and ministry leaders to ensure the correct information is included. Proofreads and prints according to the weekly schedule.
- Manages the day-to-day operations of the church office, maintaining a professional and organized environment.
- Provides administrative support to clergy, staff and the wardens, including scheduling appointments, preparing correspondence and reports and handling phone calls and emails.
- Maintains church calendars for worship services, meetings, building use, and ministry activities. Proactively reaches out to groups to co-ordinate dates, resolve scheduling issues and finalize meeting locations, as necessary.
- Liaises with the bookkeeper and the Accountant to ensure all financial information is correctly reported. Works with ministry leaders to combine their reports into the final report. Prepares copies of the reports. Prepares the parish list for the vestry meeting.
Customer Service
- Serves as the primary point of contact for parishioners, volunteers, visitors, contractors, and callers, offering a warm, welcoming, and helpful presence.
- Fosters positive relationships with all clergy, staff, wardens, ministry leaders, and volunteers through effective communication and reliable support.
Office & Data Management
- Maintains accurate parish records, including membership data, sacramental records, and other church records.
- Oversees office supplies, office equipment maintenance, and vendor communication.
- Ensures filing systems—digital and physical—are maintained, secure, and accessible.
- Coordinates with the Bookkeeper by providing copies of invoices, cheque requisitions, bank correspondence and Sunday contributions. Responsive to queries from the Bookkeeper and the Accountant.
Communication & Publications
- Creates and distributes the weekly email blast to Parishioners. Upload the Sunday sermon to YouTube on a weekly basis.
- Collaborates with ministry leaders to promote events and share important information with the congregation through the weekly Sunday bulletins.
