Role Purpose The Operations Lead - Project Management and Processes will provide essential operational infrastructure to ensure CRC runs smoothly and sustainably during a critical growth phase. Our strategic leadership team is experiencing capacity challenges and needs dedicated support to maintain project momentum, coordinate cross-functional initiatives, and establish sustainable operational systems. This role is vital for creating the organizational backbone that enables our project teams to focus on their missions while maintaining accountability, efficiency, and collaboration across the organization. You will be the operational problem-solver who keeps projects on track and ensures our systems support rather than hinder our volunteer community. Key Responsibilities
Project Management and Coordination:
• Project Tracking: Maintain comprehensive project tracker and send timely, gentle
reminders to project leads to keep initiatives moving forward
• Event Management: Plan and coordinate logistics for external-facing events such as
Toronto Climate Week, ensuring seamless execution and strong organizational presence
• Cross-Functional Problem Solving: Identify and resolve operational challenges across project teams and central hubs (PMO, Communications, Partnership & Community Engagement, Volunteer Management)
• Systems and Documentation: Create and maintain documentation, Standard Operating Procedures (SOPs), templates, and organizational resources
• Knowledge Management: Organize shared drives, files, and templates to ensure easy access and knowledge transfer across teams
• Process Optimization: Monitor operational workflows and implement improvements to enhance efficiency and reduce volunteer burden
Additional responsibilities include:
• Develop project management frameworks tailored to volunteer-led initiatives
• Create accountability mechanisms that are supportive rather than burdensome
• Facilitate coordination between autonomous project teams and central support
functions
• Identify bottlenecks and dependencies that slow down project progress
• Establish reporting rhythms and dashboards for organizational visibility
• Support project leads with planning, timeline development, and resource allocation
• Document lessons learned and best practices from completed projects
• Champion sustainable pacing and workload management to prevent volunteer
burnout
• Coordinate cross-project dependencies and shared resources
Required Qualifications
• Proven project management experience with demonstrated ability to manage multiple concurrent initiatives
• Strong collaborative problem-solving skills with ability to navigate organizational complexity
• Experience running operations in a nonprofit, community organization, or volunteer-based environment
• Excellent organizational skills with meticulous attention to detail and follow-through
• Ability to create and maintain systems, documentation, and processes that others
can easily use
• Strong interpersonal skills with ability to motivate and support volunteers without
micromanaging
• Proficiency with project management tools, shared drives, and collaborative
platforms
• Self-starter mentality with ability to identify operational needs proactively
• Comfort working in ambiguous, fast-paced environments with competing priorities
Nice-to-Have Qualifications
• Leadership experience in volunteer-based, nonprofit, or social impact organizations
• Familiarity with project management methodologies (Agile, Scrum, Kanban, etc.) and
ability to adapt them for volunteer contexts
• Experience with project management software
• Event planning and logistics coordination experience
• Background in operations management, process improvement, or organizational
development
• Experience creating SOPs, templates, and knowledge management systems
• Change management skills and experience implementing new processes in existing
organizations
• Understanding of nonprofit governance and operations
• Knowledge of climate, environmental, or social impact sectors
• Project Management Professional (PMP) certification or similar credentials
• Experience managing distributed or remote teams

enhance CRC's visibility and impact
• Systems and Documentation: Comprehensive, accessible SOPs, templates, and
organized knowledge repositories that enable volunteer autonomy
• Project Visibility: Up-to-date project tracker providing organizational leadership with
clear visibility into progress and blockers
• Process Efficiency: Measurable improvements in operational workflows and reduced
time spent on administrative tasks
• Volunteer Satisfaction: Positive feedback from project leads on operational support
