Position: Operations & Engagement Coordinator (Administrative Coordinator per CSJ)
Term: 16 weeks
Salary: $20 / hour
Location: Hybrid - Waterloo Start: May 4, 2026

Position Overview
The Operations & Engagement Coordinator will play a key role in strengthening SVP’s organizational capacity. This position focuses on creating practical tools, organizing resources, and documenting processes that make SVP’s work more efficient, consistent, and scalable.
The role will also support Partner engagement by gathering input, organizing information, and contributing to communications and reporting efforts. This is an excellent opportunity for a student interested in not-for-profit operations, community engagement, and impact measurement.
Key Responsibilities
Process Documentation & Organizational Systems
- Document workflows for recurring programs, events, and administrative processes.
- Develop clear, user-friendly guides for templates, tools, and shared resources.
- Support the creation of simple systems that improve internal efficiency.
Resource & Template Development
- Organize and streamline existing documents and materials.
- Create reusable templates, including:
- Event planning checklists
- Marketing content formats
- Impact data collection sheets
- Compile resources into a well-structured, accessible digital library for staff and Partners (e.g., SharePoint).
Engagement & Impact Support
- Organize and format data for reporting and communications.
- Prepare templates for charts and visual summaries using provided data.
- Maintain and organize Partner information.
- Gather Partner quotes, stories, and feedback for use in communications and reports.
- Support coordination and execution of SVP events (some evening availability may be required).
Marketing & Communications Support
- Assist with website content updates.
- Design simple graphics and social media templates using Canva.
- Support formatting and preparation of communications materials.
Skills & Qualifications
- Actively enrolled in a post-secondary education program
- Strong organizational skills and attention to detail.
- Ability to work both independently and collaboratively within a small team.
- Clear written communication skills and comfort documenting processes.
- Comfortable engaging with Partners and volunteers to gather feedback and input.
- Proficiency in Microsoft Office and SharePoint; familiarity with Canva is an asset.
- Interest in not-for-profit operations, community impact, and donor/volunteer engagement.
- Flexibility to attend occasional evening events.
- Previous not-for-profit experience is considered an asset.
