About the Role

We are seeking a dynamic and experienced Operations Director to lead the day-to-day execution of our organization’s operations. This role is critical in ensuring organizational effectiveness, compliance, and a positive workplace culture while supporting sustainable growth and mission delivery.

The Operations Director will provide leadership across teams, oversee program delivery, ensure financial and regulatory compliance, and support the organization’s strategic priorities.

Key Responsibilities

Leadership & Team Management

  • Provide direct supervision, guidance, and support to the Operations Manager and Administrator
  • Foster a positive, collaborative, and accountable workplace culture
  • Ensure staff and volunteers have the tools, training, and support required to succeed
  • Support volunteer recruitment, engagement, and retention efforts

Operations & Program Oversight

  • Oversee all program delivery to ensure alignment with the organization’s mission, vision, and policies
  • Ensure the facility is safe, well-maintained, and operating within budget
  • Monitor daily operations and proactively address gaps, risks, or inefficiencies
  • Prevent mission drift and support sustainable organizational growth

Compliance & Risk Management

  • Ensure compliance with all health and safety standards and organizational policies
  • Maintain and update policies in accordance with regulatory and legal requirements
  • Support organizational risk management practices and internal controls

Financial Oversight & Accountability

  • Review and approve organizational expenditures (e.g., payroll, day-to-day purchasing and repairs)
  • Ensure grant funds are utilized in accordance with funding agreements and timelines
  • Track, document, and report on grant-related expenses
  • Support the annual external and monthly internal audit process and ensure accurate financial reconciliations
  • Participate in annual budget planning with the CEO
  • Ensure inventory and supplies are maintained and used appropriately

Stakeholder & Donor Engagement

  • Support CEO to build and maintain positive relationships with onsite donors and volunteers
  • Identify and share donor engagement opportunities with the CEO to support major and legacy giving
  • Support fundraising initiatives and event logistics as required

Reporting & Administration

  • Provide regular operational updates and reports to the CEO
  • Ensure accurate documentation, reporting, and record-keeping across operations
  • Perform additional duties as required to support organizational priorities

Qualifications & Experience

  • Proven leadership experience in operations management, preferably in a non-profit or community-based environment. The ideal candidate will have 3-5 years of management experience and related degree/certificate. Knowledge and understanding of HR will be beneficial.
  • Strong understanding of financial oversight, budgeting, and grant management
  • Experience with health and safety and policy maintenance, compliance, and risk management
  • Demonstrated ability to lead teams, manage performance, and foster a positive workplace culture
  • Excellent organizational, problem-solving, and decision-making skills
  • Strong interpersonal and communication skills, with the ability to engage diverse stakeholders, employees, and volunteers
