Position Overview
We are seeking a highly organized and proactive General Administrator to join our team. This fully remote role is ideal for a self-starter who thrives in a flexible work environment and is passionate about supporting a mission-driven organization. The General Administrator will play a key role in ensuring the smooth operation of WIMC’s day-to-day activities and supporting the Board and its working groups.
Key Responsibilities
Inbox Management:
- Monitor and manage the organization’s main email inbox.
- Respond to general inquiries and forward messages to appropriate Board members or working groups as needed.
Sponsor Relations:
- Respond to sponsor requests and questions in a timely and professional manner, delegating and escalating as required.
- Maintain records of sponsor communications and commitments.
Financial Administration:
- Track and update the organization’s budget and financial records.
- Prepare and send invoices to sponsors, partners, and other stakeholders as required.
Board & Working Group Support:
- Provide administrative support to the Board of Directors and Board working groups.
- Assist with scheduling meetings, preparing agendas, taking meeting minutes and tracking action items as needed.
- Support the implementation of Board initiatives and projects.
Event Management:
- Support the planning, coordination, and execution of virtual and in-person events, such as webinars, panel discussions workshops, and annual conferences.
- While the role is fully virtual, the successful candidate must be able to attend the annual PDAC convention in Toronto to manage WIMC’s annual programming and Trailblazer award events. This will include:
- Assisting with event logistics, including scheduling, registration, communications, and follow-up.
- Coordinating with speakers, sponsors, and participants to ensure successful event delivery.
- Promoting events through email campaigns and social media channels.
- Tracking event attendance and gather feedback for future improvements.
Digital and Social Media Management:
- Maintain and update the organization’s website
- Assist in managing the organization’s social media accounts (e.g., LinkedIn, Twitter, Facebook, Instagram).
- Draft, schedule, and post content to promote events, initiatives, and organizational updates.
- Monitor engagement and respond to comments or messages as appropriate.
- Collaborate with Board members and working groups to ensure consistent and effective messaging.
General Administration:
- Maintain digital filing systems and organizational records.
- Assist with other administrative tasks as required to support the organization’s operations.
Qualifications
- Previous experience in an administrative or office management role is an asset, preferably in a non-profit or membership-based organization.
- Experience managing organizational social media accounts (e.g., LinkedIn, Twitter, Facebook, Instagram), including content creation, scheduling, and engagement.
- Experience supporting the planning and coordination of events (virtual and/or in-person), including logistics, communications, and follow-up.
- Strong organizational and time management skills, with the ability to prioritize tasks and work independently in a remote environment.
- Excellent written and verbal communication skills, with attention to detail and professionalism in all interactions.
- Proficiency with email platforms, cloud-based document management (e.g., Google Workspace or Microsoft 365), and basic financial tracking (e.g., Excel, Google Sheets or similar).
- Experience with invoicing and budget tracking is an asset.
- Comfortable using online event platforms (e.g., Teams, Zoom, Eventbrite) and social media management tools (e.g., Hootsuite) is an asset.
- Ability to work collaboratively with a remote team and support multiple stakeholders.
- Passion for diversity, equity, and inclusion, and an interest in the mining sector is a plus.
