Vantage Point is a BC non-profit that serves other BC non-profits. We promote connected communities by nurturing a strong non-profit sector. Role Summary
The Operations Coordinator plays a central role in supporting the day-to-day operations, systems, finance administration, and organizational coordination functions at Vantage Point. This multi-faceted role serves as a key operational backbone for the organization, helping to ensure responsive customer service and smooth organizational operations, including office operations, membership administration, Board coordination, routine bookkeeping and financial processes, basic payroll and benefits administration, technology systems, data management and organized systems and processes.
The Operations Coordinator works closely with the Operations and Communications team, program teams, external vendors, and service providers. While this role provides coordination and administrative support across many areas of the organization, responsibility for program content, organizational strategy, major project leadership, and specialized technical functions remains with other staff, teams, or external partners.
This role works in a fast-paced environment with changing priorities and busy periods connected to organizational events, financial cycles, and operational projects. Success in the role requires strong judgment, flexibility, and the ability to adapt while balancing multiple priorities, workflows and timelines.
Role Responsibilities
Core Operations
Administrative Support: Support the Operations and Communications team with general administrative coordination related to organizational operations, facilities, office systems, and internal processes. Responsibilities may include calendar coordination, document preparation, records management, operational research, maintaining administrative procedures, and supporting internal workflow coordination for Operations and Communications initiatives.
- Serve as Vantage Point’s primary point of contact for general customer service inquiries both in-person and online; responsibility for opening and closing office duties; managing our general inboxes and providing resources or referrals where appropriate.
- Coordinate office operations including office access, facility maintenance, supply and equipment inventories, and liaising with vendors and service providers.
- Provide administrative support to the Director of Operations and Communications and CEO related to operational processes and organizational coordination, including assistance with compliance tasks and organization for the Board of Directors as needed.
- Coordinate onboarding administration for new staff related to office operations, finance processes, technology access, and organizational procedures.
- Support volunteers, students, and interns assigned to Operations and Communications-related functions.
Finance and Bookkeeping
Payroll and Benefits: Provide basic administrative support to the Director of Finance in coordinating payroll and employee benefits processes and administration, including enrolling and managing plan participants, supporting record-keeping, tracking vacation balances, and responding to routine staff inquiries related to payroll and benefits.
Bookkeeping and Financial Cycle Support: Coordinate routine accounts payable and accounts receivable administration, including processing invoices, payment tracking, preparing supporting documentation, reconciling routine transactions, processing expense documentation, and deposits, maintaining organized financial records, and responding to general finance-related inquiries.
- Support regular financial administration processes including invoicing customers and funders, maintaining vendor information, tracking payments received, and coordinating documentation required for internal financial processes and reporting.
- Ensure financial records, files, and administrative processes are maintained accurately and consistently in alignment with organizational procedures and approval processes.
- Provide administrative and documentation support for month-end, quarterly, year-end, and audit-related processes, including preparing supporting files and schedules, and coordinating information requests with staff, vendors, funding partners, and external auditors as required.
Technology, Data, and System Administration
Technology Support: Coordinate the operational administration of organizational systems and platforms, including user account administration, access management, basic troubleshooting, documentation, and liaising with external technology vendors and consultants.
- Support staff with routine technology access and platform navigation questions and escalate technical issues where appropriate.
Digital Data, Assets, and Systems Administration: Support administrative processes across organizational platforms including Salesforce, Microsoft 365, Zoom, Asana, Adobe, Stripe, and website-related systems, while helping maintain organized documentation, workflows, and operational consistency.
- Assist with routine data entry, tagging, report generation, dashboard updates, and basic analytics tracking to support operational and organizational needs.
Membership and Events
Membership: Coordinate administrative support for Vantage Point’s membership program, including maintaining membership records and systems, supporting member onboarding and renewals, responding to routine member inquiries, and assisting with member access to subscriptions, benefits, and services.
- Maintain accurate membership records, CRM data, documentation, and operational processes related to membership administration.
- Coordinate routine communications and administrative follow-up related to membership accounts, renewals, and member services.
- Liaise with external benefit and service providers regarding operational and administrative matters related to member access and subscriptions.
- Support membership-related reporting, tracking, and internal administrative processes to assist organizational planning and member engagement activities.
Event Support: Provide operational and administrative support for Vantage Point events as needed, primarily the AGM and our annual conference.
- Contribute to team planning, events and activities and supporting general office events as required.
Other Responsibilities
- Other general support for the Operations and Communications team.
- Attend full-team and departmental meetings.
- Engage in ongoing team learning and actions in strengthening our equity, diversity, inclusion and belonging practices and approaches.
Role Qualifications and Competencies

- 2+ years’ experience in an administrative support, program coordination, and/or customer-oriented role.
- Experience with accounting and bookkeeping.
- High level of comfort with technology, including online platforms, hardware and software, and ability to support remote team members with tech needs. Training and experience in managing platforms and backends of systems, including Salesforce CRM, SurveyMonkey, Mailchimp and Microsoft Office Suite, considered an asset.
- Excellent customer service skills with the ability to listen, understand, and respond to client and all stakeholder needs and requests.
- Self-starter and high capacity to work independently and with exceptional attention to detail. Ability to take initiative and obtain clarification as required.
- Strong organizational, project and time management skills with high capability to determine and manage priorities.
- Strong communication and writing skills.
- Training in office processes and procedures an asset.
- Willingness and passion to learn.
- A highly collaborative work ethic and excellent teamwork skills

Role Compensation and Requirements
This is a full-time position (35 hours/weekly) with extended health benefits and excellent pension plan (eligibility according to plans), upon successful completion of a probationary period. The position is in job range C according to our People Policies which has an annual hiring range of $54,042.66 - $66,052.14 depending on experience. The hiring range for this role is $54,042.66 - $60,047.40. All job ranges can be found here.
This position is entitled to 3 weeks’ vacation per year and includes a paid one-week office closure in late December. This position may be eligible to enroll in Vantage Point’s extended health and dental benefits upon successful completion of a probationary period.
We operate with a hybrid working model that combines remote work with on-site office work during a regular work week for full-time employees. Four (4) days per week in office is expected for this position from Mondays – Thursdays from 8:30am-4:30pm or 9:00am-5:00pm.
