About This Role

As Operations Coordinator you will support logistics across several functions of the organization. This includes coordination of logistics related to team meetings, Board meetings, public facing events and programs, working in collaboration with other TGC team members. This role also supports the monthly reconciliation of financial accounts and following/updating processes and Standard Operating Procedures (SOPs).

Responsibilities

Operational Logistics

Support, improve and maintain operational systems across the organization.

Liaise with contractors, vendors and consultants on work related to operational functions.

Coordinate calendars and meeting logistics for staff and board meetings, including the preparation and distribution of Board meeting packages.

Support the implementation of new systems related to: IT, software, project tracking, budgeting, among others.

Update and maintain SOPs related to operations functions, assist with creating new SOPs as needed.

Events Support

Collaborate with TGC managers on the roll out and implementation of TGC events and programs.

Coordinate the booking of travel, accommodations, catering, speaker honorariums and other event details.

Maintain effective tracking of progress on events, identifying potential roadblocks or gaps.

Financial Systems & Reporting

Support the monthly and quarterly reconciliation of TGC financial accounts, preparing expense reconciliations for internal review and shared with TGC’s accountant.

Support the preparation of funder reports (organizing data, financials, qualitative input) in collaboration with other TGC staff.

Support preparation of files for annual audit.

Participate in TGC team meetings, related projects, and strategy sessions as required.

Other duties as assigned.

Qualifications

2+ years of experience coordinating operations functions in a non-profit or business environment.

Experience with project management and comfortable coordinating many moving pieces at a time.

Experience following organizational systems and SOPs for processes.

Demonstrated experience with the principles of anti-racism, anti-oppression, equity and justice in workplace settings.

Proficiency working in fully remote environments.

Familiarity and comfort working with Google Workspace (eg. Google Docs, Sheets, Slides & Shared drives) and other software systems (Asana, Hubspot, Absorb LMS) an asset.

Applicants must be eligible to work in Canada.

Work area:

Remote work from home position, located anywhere in Canada.

Work is computer based and may include lots of sitting.

Attendance at occasional in-person meetings or events is required.

Org Structure:

This position reports to the Head of Operations, TGC

The position may coordinate the work of other team members and contractors (eg. IT consultant, event vendors)

Compensation & Contract details:

Full time, remote (40 hours a week)

$62,000 - $72,000 salary, plus a $2,000 benefits reimbursement allotment

Ideal start date of October 1, 2025

One year contract position, ending September 30, 2026, with possibility of extension based on funding

Our hiring process:

We provide a $50 honorarium for candidates who participate in the one hour interview.
