About WTC:

Women Transforming Cities aims to radically shift social, economic, and political power to equity-deserving groups to reshape who cities are built by and for so that communities' needs are met and everyone can belong, participate, and thrive.

We work at the community and systems level. At the community level, we build the civic skills and power of individuals who have been historically excluded from civic processes, delivering training on intersectional feminism, community organizing, engagement and campaigning, and collaborating with community groups and front-line organizations to advocate on equity issues.

We work to make cities more equitable at the systems level by developing resources to support civic engagement and accelerate action on equity issues, amplifying the priorities of equity-deserving communities in city halls, challenging local policies that harm marginalized communities, and holding decision-makers accountable to their commitments to equity-deserving communities.

Position Summary:

The Operations and Events Coordinator will work closely with the Executive Director to keep WTC running smoothly behind the scenes, from managing day-to-day administration and finances to coordinating our most visible public events. We want to hear from you if you're a highly organized self-starter who finds satisfaction in getting the details right and thrives off being involved across many different workstreams.

We're looking for a natural problem-solver who is motivated, detail-oriented, and excited to juggle a wide variety of tasks without missing a beat. The ideal candidate will bring experience in both operations and event coordination, and will be energized by the variety and pace of work at a small, high-impact nonprofit in a municipal election year.

Responsibilities:

Operations and administration

  • Manage general administrative tasks
  • Financial administration support, including setting up and tracking invoices in QuickBooks Online, and working with our bookkeeper on end of month financial reconciliation
  • Coordinate printing and ordering of organizational merchandise and supplies
  • Maintain and organize WTC's storage space
  • Assist with scheduling and booking across the team
  • Support the Education Department on sales, room bookings, catering, honorarium coordination, and ensure they have all the materials they need

  • Supporting Watch Council and other civic education programming, through tracking and administrative support

Board and HR coordination

  • Coordinate board recruiting, onboarding and offboarding
  • Support board administration tasks, including organizing the annual board day
  • Support hiring processes and onboarding of staff
  • Organize the Annual General Meeting

Event coordination

  • Take the lead on all logistics for WTC's two large public events in 2026 - the Candidates' Forum and Our City Hall Campaign Launch
  • Coordinate sponsorship for the Candidates' Forum, including outreach and follow-up with sponsors
  • Liaise with venue partners and manage relationships with vendors such as photographers and caterers
  • Email candidates and party representatives to confirm participation in forums and events
  • Coordinate invitations to special guests, including donors
  • Coordinate on-site logistics such as registration, donations, and merchandise sales
  • General event support for workshops, member, volunteer, staff and board events, working closely with the Manager of Community

Successful candidates will have:

  • 1-5 years of experience in a similar events and admin role
  • Experience organizing public-facing events, including end-to-end logistics and vendor management
  • Experience in an administrative or operations role, with strong attention to detail and a methodical approach to tasks
  • A track record of juggling many priorities at once, and genuinely enjoying the challenge of working across different workstreams
  • Strong written and verbal communication skills, with the ability to liaise professionally with a wide range of stakeholders
  • Comfort with financial administration tasks such as invoicing, expense tracking, and basic bookkeeping coordination
  • Project management skills: strong organizational skills and the ability to manage multiple deadlines and deliverables
  • Comfortability with tools such as Slack, Zoom, Google Workspace, QuickBooks Online, and Keela (or similar CRM/finance tools)
  • An ability to work autonomously and collaboratively as part of a small remote team
