Position Summary: Reporting to the Senior Director, Policy Planning and Investment, the Officer plays a key role in the overall stewardship of United Way East Ontario’s community investment in front line programs and services, community wide initiatives, and special gifts. This entails supporting the Community Investment team in accurate administration, tracking, and reporting of information related to community investment such as funding decisions, financial details, third party investments, agency/program site visit coordination, and application/program report data. It also includes the integration of information from the Research and Evaluation team to be used for internal planning purposes and external communication processes to various stakeholders. Finally, it includes accountability for the systems administration of our information and/or grant management systems. The Officer also provides administrative support to the Senior Director. The Officer will play a key role in the coordination of all aspects of the Call for Proposals (CFP) process including but not limited to responding to general questions about the Call for Proposals process, preparing and tracking funding agreements, tracking program reports, etc. This position is based in Ottawa but serves Prescott-Russell, Ottawa, Lanark, and Renfrew Counties. This is a hybrid position with two days per week on-site.

Qualifications:

Education:


• Post-secondary diploma/degree and/or equivalent combination of education and experience

Experience:


• 3-5 years experience in office administration
• Sound knowledge of the social service sector in Ottawa
• Experience in project management
• 2+ years working with databases to track funding agreements and reporting

• Experience communicating in a clear manner.
• Experience in dealing with difficult situations.

• Ability to work effectively under pressure
• Accurate word processing and computer skills; proficient in Microsoft Office, PowerPoint, Word, Excel,

Outlook and SmartSimple
• Ability to administer an information/funding management application database
• Excellent communication, writing and proofreading skills
• Demonstrated commitment to completion of projects on a timely basis through organizational and time

management abilities with the aptitude to prioritize workload
• Ability to work both independently and collaboratively
• Demonstrated diplomacy and tact when interacting with internal and external stakeholders
• Proven understanding and knowledge of the Ottawa non-profit sector, specifically program

development, community boards, management issues, program evaluation and financial reporting
• Demonstrated knowledge and experience in program development
• Demonstrated knowledge and insight into the issues facing community agencies in Ottawa
• Experience monitoring program progress for demonstrated results
• Demonstrated skills in building and maintaining relationships with a variety of internal and external

stakeholders
• Superior interpersonal and facilitation skills with the ability to utilize tact and diplomacy
• Strong presentation skills
• Creativity, problem solving and sound judgment
• Ability to manage projects to achieve organizational mandate
• Ability to work in a fast-paced environment while remaining focused and flexible
• Demonstrated skills in building and maintaining relationships with a variety of internal and external

stakeholders
• Demonstrated track record of maintaining confidentiality
• Willingness to learn new skills

• Written and oral fluency in French and English essential
