
Office & Team Support Specialist
Position Title: O ice and Team Support Specialist Location: 130 Albert St., Ottawa, ON (Hybrid, with minimum of three days per week in o ice) Reports To: Vice President, Finance & Operations Organization: Hotel Association of Canada (HAC)
Salary: $68K-$75K, plus benefits

Position Overview:
The O ice and Team Support Specialist plays a key role in ensuring the smooth functioning of o ice operations, supporting human resources and financial administration, and facilitating e ective communication and coordination across the organization. This role requires a proactive, organized, and detail-oriented individual who thrives in a dynamic environment and enjoys supporting a collaborative team.
Key Responsibilities:
O ice Operations & Facilities Management
ï· Oversee day-to-day o ice operations, including supply inventory. ï· Serve as the first point of contact for general internal and external inquiries. ï· Ensure professional and well-organized common o ice spaces, including storage. ï· Maintain filing systems (physical and digital) and support document preparation. ï· Support internal communications and manage corporate information on
Basecamp.
ï· Support IT and o ice equipment (printers, copiers, phones) functionality and coordinate maintenance and repairs.
ï· Maintain records of software subscriptions and external memberships. ï· Handle incoming/outgoing mail and courier services. ï· Administer o ice/building security and access systems. ï· Liaise with facilities management, vendors, and service providers. ï· Maintain o ice policies and procedures. ï· Ensure compliance with health and safety regulations
Administrative Support
ï· Organize sta meetings and events, including catering, logistics, and any meeting notes or follow-up documentation.
ï· Assist with Board and Committee meeting logistics, materials, and follow-ups. ï· Provide scheduling and travel coordination, as required.
Human Resources Support
ï· Coordinate onboarding/o boarding schedules and requirements in collaboration with Finance, HR and IT.
ï· Maintain onboarding documentation and internal protocols. ï· Support employee recognition and retention programs. ï· Maintain and track sta training and policy documentation.
Finance & Budget Administration
ï· Track o ice expenses and manage petty cash. ï· Code and submit invoices, support document collection, and deposits. ï· Coordinate expense reports and reimbursements for Board and senior leadership.
Qualifications:
Education/Experience
ï· Postsecondary education in business administration, o ice management, a related field (diploma or degree), or equivalent experience.
ï· 3–5 years of administrative or o ice coordination experience, including: o Managing budgets, vendors, and/or o ice facilities. o Demonstrated computer literacy, especially in Microsoft O ice Suite (Word,
Excel, Outlook, PowerPoint).
o Coordinating o ice equipment and systems (printers, phone systems, video conferencing tools).
o Accounting or CRM software (e.g., QuickBooks) is an asset.
