Hope Air is Canada’s only national charity providing free travel and accommodations to ensure all Canadians can access essential medical care, regardless of distance or cost. In 2026 we will proudly celebrate our 40th anniversary, a milestone marking four decades of compassion, connection, and life-changing impact. As we grow, we are seeking a detail oriented, collaborative Event Logistics & Operations Coordinator to support our signature events, stewardship activities, and third-party fundraising initiatives nationwide. This role can be based in either Toronto or Vancouver.
Reporting to the Director of Events, the Events Logistics and Operations Coordinator supports the planning and execution of Hope Air’s signature events, stewardship activities, and third-party fundraising initiatives nationwide.
This role is ideal for someone with strong organizational skills and a passion for creating exceptional event experiences.
This is a hybrid role with office space available in Toronto or Vancouver.
Key Responsibilities:
Event Logistics and Onsite Coordination
- Plan, organize, and execute all onsite event logistics, including venue preparation, equipment coordination, vendor management, airport authority coordination, and day-of operational oversight to ensure seamless event delivery.
- Develop practical workback schedules and operational checklists that guide event preparation and support efficient logistical execution (without full project management ownership).
- Prepare and maintain event resources, materials, and tools that enhance participant and supporter engagement onsite and leading up to events.
- Support participant and volunteer recruitment, onboarding, and training through webinars, presentations, calls, and delivery of necessary event materials.
- Source, procure, and manage inventory for promotional items and event supplies, ensuring timely delivery and distribution.
- Assist in optimizing the third-party fundraising platform to improve user experience, operational flow, and event readiness.
Celebration and Community Events
- Compile and deliver reports that support internal teams and event organizers with operational insights and event-related data.
- Coordinate quarterly Hope Air celebration events, focusing on event logistics, scheduling, supplier coordination, and onsite execution.
- Provide participant support, including maintaining and updating fundraiser pages on Blackbaud Luminate and responding to participant inquiries related to event operations.
Cross-Functional Collaboration
- Build and maintain positive relationships with donors, volunteers, supporters, and event organizers to support strong event participation and smooth logistics.
- Collaborate with cross-functional teams (Marketing, Regional Leads, Finance, Client Services) to ensure alignment on event logistics and support requirements.
- Represent Hope Air at community events, providing onsite support, materials, and logistics coordination.
Qualifications
- 2–3 years of experience in event logistics and onsite coordination.
- Knowledge of fundraising principles, particularly event and peer-to-peer fundraising.
- Familiarity with third party/independent fundraising and volunteer engagement.
- Proficiency with online fundraising platforms; Blackbaud Luminate is an asset.
- Experience with CRM systems (Salesforce preferred).
- Strong organizational and project coordination skills, with the ability to manage multiple priorities.

Working at Hope Air:
- Salary: $48,000 - $55,000
