Memory Quilt-Project Administrator
ABOUT MAIDHOUSE
MAiDHouse provides guidance, education, and support for individuals eligible for Medical Assistance in Dying and the people who walk alongside them. We fill the gap between healthcare and death care with knowledge, coordination, community, and dignity — at no cost to those we serve.
ABOUT THE PROJECT
The MAiDHouse Memory Quilt is a national community art project for people impacted by MAiD bereavement across Canada. Participants create individual quilt blocks that together form a collective quilt — a tangible, travelling record of grief, love, and the many ways we hold space for one another.
This volunteer role supports the behind-the-scenes work that makes the project possible.
What you will do
As Quilt Project Administrator, you will help us receive, document, and organize block submissions as they arrive. This is detail-oriented, meaningful work.
RESPONSIBILITIES
- Receive and log incoming quilt block submissions
- Photograph each block against a consistent background for the digital archive
- Organize and name digital image files according to our naming convention
- Record participant details (name preference, newsletter opt-in, story notes) in our tracking spreadsheet
- Flag any incomplete consent forms or missing information for follow-up
- Maintain a tidy physical archive of blocks and associated paperwork
- Communicate with the Executive Director as needed on submission updates
What we are looking for
- Strong attention to detail and comfort with file organization
- Basic photography skills or a willingness to learn a simple process (Turboscan or other App)
- Comfort with spreadsheets (Google Sheets or Excel)
- Discretion and sensitivity; participants are sharing something personal
- A self-directed, reliable work style; much of this can be done remotely at your own pace
- An interest in community arts, grief support, or end-of-life care is welcome but not required
- Ideally physically located in Victoria British Columbia or surrounding areas of the south island.
Time commitment
Flexible.
Submissions arrive in batches rather than continuously, so the workload is variable. We estimate approximately 5 to 10 hours to create a system of organization, with occasional peaks when a larger group of blocks arrives together.
This role can be carried out primarily remotely. Some in-person time may be needed for block photography if a shared location is preferred.
Why volunteer with us
MAiDHouse is a small, values-driven team. Our volunteers are integral to everything we do. This role puts you in direct contact with the material expression of people's grief, the quilt blocks themselves, and the quiet work of ensuring each one is received with care.
We are committed to a trauma-informed, inclusive environment for everyone involved.
