Overview:

This is a one-year contract position reporting to the Senior Manager, Membership & Technology, the Membership & Website Coordinator supports CAR’s member services, provincial societies, and digital presence. The role is responsible for coordinating membership administration and provincial association support as well as maintaining accurate, timely website content. The position requires strong organizational skills, excellent communication abilities, and fluency in both English and French.

Primary Responsibilities:

Membership Coordination

  • Serve as a point of contact for member and provincial society inquiries
  • Manage and maintain accurate member records in the membership database (currently Keap)
  • Assist members with joining, renewals, payments and account updates in the membership database
  • Prepare membership-related statistics and reports
  • Develop and edit membership communications and marketing
  • Support special projects related to member experience, growth and system enhancements
  • Identify opportunities to improve membership workflows, systems and communications

Website Coordination

  • Coordinate and execute routine website updates for the organization’s websites
  • Conduct regular quality assurance checks to ensure website content accuracy and functionality
  • Monitor and report on website analytics and share insights to inform content updates and website improvements.
  • Create and edit marketing content for CAR website initiatives
  • Ensure website content adheres to branding, accessibility, and organizational standards

Administrative Support

  • Support provincial membership societies by coordinating meetings and developing marketing materials
  • Maintain provincial membership records
  • Organize and attend provincial meetings, including scheduling, preparing agendas, materials and meeting minutes
  • Contribute to departmental reports and special projects as required

Required Qualifications:

  • Post-secondary education in administration, marketing, or a related field
  • Minimum of 2–3 years of experience in a coordination, marketing, administrative, or membership-focused role
  • Fluency in English and French (oral and written)
  • Experience working with membership databases, CRMs, or association management systems
  • Experience updating websites using Wordpress
  • Strong written and verbal communication skills
  • Exceptional organizational skills with a high attention to detail
  • Proficiency in Microsoft Office Suite, particularly Word and Excel
  • Ability to work effectively both independently and as part of a team

Assets:

  • Experience working in a professional association, non-profit, or healthcare environment
  • Experience supporting committees or boards
  • Familiarity with website accessibility standards and digital best practices
  • Strong written communication skills
