Position: Membership & Website Coordinator

Overview:

This position reports to the Senior Manager, Membership & Technology. The Membership & Website Coordinator supports CAR’s member technology services, provincial societies, and digital presence. The role is responsible for membership database reporting and maintaining accurate website content along with administrative support. The position requires strong excel skills, excellent attention to detail, and fluency in both English and French.

Primary Responsibilities:

Membership Coordination

  • Manage and maintain accurate member records in the membership database (currently Keap)
  • Prepare membership-related statistics and reports
  • Serve as a point of contact for member and provincial society inquiries
  • Assist members with joining, renewals, payments and account updates in the membership database
  • Isentify opportunities to improve membership workflows, systems and communications
  • Develop and edit membership communications and marketing
  • Support special projects related to member experience, growth and system enhancements

Website Coordination

  • Conduct regular quality assurance checks to ensure website content accuracy and functionality
  • Coordinate and execute routine website updates for the organization’s websites
  • Monitor and report on website analytics and share insights to inform content updates and website improvements.
  • Create and edit marketing content for CAR website initiatives
  • Ensure a cohesive, modern visual identity aligned with organizational branding and values

Administrative Support

  • Support provincial membership societies by coordinating meetings and developing marketing materials, working with
  • Maintain provincial membership records
  • Organize and attend provincial meetings, including scheduling, preparing agendas, materials and meeting minutes
  • Contribute to departmental reports and special projects as required

Required Qualifications:

  • Post-secondary education in administration, marketing, or a related field
  • Minimum of 2–3 years of experience in a coordination, website, administrative, or membership-focused role
  • Bilingual - Fluency in English and French (oral and written)
  • Technical proficiency working with membership databases, CRMs, or association management systems
  • Expertise updating websites using Wordpress
  • Strong written and verbal communication skills
  • Exceptional organizational skills with a high attention to detail
  • Strong roficiency in Microsoft Office Suite, particularly Word and Excel (comfortable with pivot tables, VLOOKUP)
  • Ability to work effectively both independently and as part of a team

Assets:

  • Experience working in a professional association, non-profit, or healthcare environment
  • Experience supporting committees or boards
  • Familiarity with website accessibility standards and digital best practices
  • Strong written communication skills
  • Experience with KEAP

Working Conditions:

  • Full time position, hybrid work environment located in Ottawa, Ontario
