Reports to: Director of Primary Healthcare Services
Terms: Full-Time (35 hours/week)

POSITION SUMMARY
The Medical Secretary performs full secretarial duties and carries out diversified tasks supporting the administrative functions of the Community Health Centre in a responsible and effective manner. The medical secretary will act as the primary provider of client related secretarial services to the community program and clinical teams.
SPECIFIC RESPONSIBILITIES
• Welcome new and existing patients and visitors in a friendly, welcoming, & approachable manner
• Work as part of a team responsible for the front desk customer service, patient intake & patient eligibility of clients for service at the Centre.
• Receive high volume of phone calls and be able to prioritize calls and real-time patient interaction
• Register patients and obtains all necessary demographic information and accurately input into electronic medical records (EMR) system
• Reception and administration support for a clinic with multiple health practitioners
• Receive new referrals and triage according to established guidelines within the Clinic/Program
• Confirm required information and retrieve relevant information from referring source
• Triage to correct program/physician using decision algorithms, as applicable
• Maintain client confidentiality in accordance with policies established by the Board of Directors and Management.
• Maintain inventory of necessary forms and supplies.
• Participate in the review, update and follow front desk procedures and policies.
• Provide administrative support as requested.
• Support Health Promotion programs by promoting them at the front desk.
• Maintains familiarity and continuing education with appropriate software and hardware on computerized information and electronic charting system.
• Performs reception and photocopying functions.
• Perform other duties as assigned.
Experience & Education
▪ Secondary School Diploma
▪ Medical Secretary certificate or equivalent work experience
▪ Two to five Years of office experience in a health setting
▪ Proficiency in typing and in the use of computers and various software
▪ Ability to work independently and collaboratively in an inter-disciplinary team environment
▪ Ability to work flexible hours including evening and weekends
▪ Commitment to address the health barriers and inequalities faced by racialized and minoritized community groups essential
▪ Knowledge of the Malvern community is considered an asset
▪ Proficiency in any of the languages predominantly spoken in the community is considered an asset
Accountability
1. This position reports to Director Primary Healthcare Services
2. Adhere to all policies and procedures of TAIBU CHC
3. The Medical Secretary is accountable to meet the requirements of any accountability agreement between the Ontario Health and TAIBU CHC

Compensation:
• $43,341 – 52,218 + Competitive benefits
• Expected salary adjustment in the near future – based on Ministry communication
• New recruits at TAIBU CHC will be enrolled in the Healthcare of Ontario Pension Plan (HOOPP)
