The Hanen Centre™ is looking for a Marketing & Project Coordinator to help coordinate projects across the organization while supporting the planning and execution of Marketing initiatives.

This is a hands-on role for someone who is highly organized, a strong communicator and writer, and comfortable keeping multiple projects moving at once. A significant part of the role is organization-wide project coordination — managing timelines, deliverables, follow-up and dependencies across teams.

You’ll also support campaigns, create and distribute marketing content, coordinate conferences and use generative AI as a core working tool for research, drafting, editing, summarizing and repurposing content.

We are looking for someone with strong follow-through, good judgment, demonstrated professional experience using AI, and the ability to take on increasing responsibility as they learn Hanen and our systems.

What You’ll Do

  • Coordinate projects across Hanen, including timelines, responsibilities, deliverables, approvals and follow-up.
  • Keep projects moving by proactively requesting information, identifying delays and escalating risks when necessary.
  • Coordinate with Marketing, Clinical, Membership, Sales, Partnerships, Design and other teams.
  • Help plan and execute marketing campaigns across email, website, social media and other channels.
  • Write, edit and adapt content for email, web, social media, landing pages, promotional materials and other communications.
  • Use generative AI extensively for research, brainstorming, drafting, editing, summarizing, repurposing and workflow improvement, while reviewing all output for quality and accuracy.
  • Work with clinical and other subject-matter experts to turn complex information into clear, audience-focused communications.
  • Build, format, test, schedule and send approved marketing emails and campaign communications.
  • Coordinate conference participation, including deadlines, registrations, materials, schedules, logistics and post-event follow-up; occasional travel may be required.
  • Learn to build and manage marketing lists, audience segments, CRM activities and automated marketing workflows; training will be provided.
  • Support campaign reporting, including email, website, registration and conversion results.
  • Help improve Marketing processes, templates, workflows and documentation.
  • Maintain organized project and marketing files and resources.
  • Take on other related project, marketing and communications responsibilities as priorities evolve.

What We’re Looking For

  • Strong organizational and project-coordination skills.
  • Excellent professional writing and editing ability.
  • Experience coordinating projects, campaigns or multiple deadlines.
  • Experience creating marketing, communications or digital content.
  • Demonstrated professional experience using generative AI tools for writing, research, editing, summarization or workflow support.
  • Strong follow-through and attention to detail.
  • Confidence following up when information or approvals are outstanding.
  • Ability to work across teams and with senior colleagues.
  • Good judgment about audience needs, messaging and priorities.
  • Ability to work independently in a fully remote environment while knowing when to ask questions or escalate an issue.

Experience with email marketing, CRM systems, audience segmentation, marketing automation, website content management, Microsoft 365/SharePoint, analytics, SEO, social media, digital advertising, conference coordination or project-management tools is an asset.
