POSITION DESCRIPTION

Position: Marketing and Operations Administrator Responsible To: Executive Director Purpose of the Job

Reporting to the Festival of the Sound Executive Director (ED), the Marketing and Operations Administrator ensures that the year-round administrative operations of the Festival organization and its marketing strategies achieve the Festival of the Sound’s (FOTS) mission and organizational objectives. This position has a dual focus on support and implementation of the Festival’s marketing plan, including social media and virtual marketing, maintaining the Festival web site, and writing and distributing a regular Festival newsletter as well as administrative operations, including database management, customer service, and artist administration. KEY RESPONSIBILITIES 1. MARKETING

● Research audience and maintain awareness of current trends; ● Work with the Executive Director to research marketing opportunities, develop marketing

strategies and create marketing materials; ● Work with the ED to create and produce a social media posting schedule, ensuring consistent

FOTS brand presence; ● Liaise with the ED in establishing a marketing budget, and track expenses and revenue to stay

within budget; ● Manage Festival web site, including measuring web traffic and monitoring SEO; review regular

web traffic and customer engagement reports with ED as well as maintaining up-to-date content; ● Assist with advertising campaigns. ● Plan and manage an optimal web posting schedule, in advance, considering web traffic and

customer engagement metrics; ● Report on online reviews and feedback from customers and fans; ● Coordinate the production of regular member newsletters and other FOTS external

communications, in collaboration with the Executive Director, and distribute via MailChimp 2. FESTIVAL OPERATIONS

● In consultation with the ED, the Artistic Director, and Assistant Artistic Director, manage the general operations of the Festival organization, including, but not limited to: database management, administration of contracts, and technology maintenance;

● Coordinate operational support for Festival and Interlude programming - maintaining meeting and rehearsal schedules, coordinating with community partners and vendors, and maintaining an organizational calendar including Board Committee Meetings;

● Liaise with the Festival Financial Administrator, Education & Outreach Coordinator, summer staff, and contract workers, to ensure there is coordination within Festival administrative systems and procedures;

● Monitor office supplies and arrange for restocking; ● Ensure a safe, attractive, and welcoming Festival office space inside and outdoors; coordinate

schedule with cleaners, and liaise with the Town of Parry Sound for building maintenance and grounds issues;

● Attend meetings of the Board of Directors, as requested by the Executive Director. 3. CUSTOMER SERVICE/BOX OFFICE

● Set up ticketing in the CRM for each season and ensure new seat maps are built as needed; ● Manage the Box Office operations during the year ● Oversee the processing and delivery of ticket sales, passes, gift certificates, and merchandise;

process donations; ● Provide excellent customer and client relations; ● Coordinate staff scheduling to maintain regular office hours and Box Office coverage, as

required; ● Liaise with Stockey Centre staff, ensuring clear communication of FOTS priorities and needs.

4. OTHER

● Maintain Gift Shop inventory control; work with Gift Shop volunteers to inventory merchandise; monitor summer gift shop and ensure daily receipts are processed in collaboration with the Financial Administrator;

● Support Annual General Meeting (AGM) preparations; ● Maintain a Festival Volunteer database; communicate with volunteers as required to update

contact information; ● Represent the FOTS in both the local Parry Sound community and the broader Festival

community; ● Perform other duties assigned by the Executive Director to ensure the Festival office and

operations run smoothly. KEY QUALIFICATIONS/REQUIREMENTS

Required Competencies ▪ Strong written and verbal communication skills ▪ Excellent computer skills with ability to learn new software quickly. An emphasis on

G-Suite tools, box office systems, Canva, and website management ▪ Ability to manage multiple and competing priorities ▪ Strong analytical skills

Education/Experience

▪ A post-secondary degree or diploma in marketing, administration, business, or equivalent combination of experience and education

▪ Minimum of 3 years’ experience in administration, including some social media and marketing responsibilities, preferably in the not-for-profit sector

▪ Experience with website management and email marketing platforms

▪ Experience with database management and report generation an asset ▪ Experience with event planning, including online registrations an asset ▪ Experience with box office software an asset ▪ Video editing skills an asset ▪ Experience in an organization related to music and the arts an asset
