
Marketing and Communications Coordinator
ABOUT ROYAL COLUMBIAN HOSPITAL
Royal Columbian Hospital provides the highest level of care to the most critically ill and injured from throughout the region and province. We are a provincial referral centre for cardiac care, trauma, neurosciences, high-risk maternity, neonatal intensive care, and mental health. No other hospital in the province provides all of these services, at this level of care, on one site.
Right now, Royal Columbian is undergoing a $1.49 billion multi-year, multi-phase redevelopment. This is one of the largest government-funded health care redevelopments in BC’s history. The first phase of our redevelopment, a new Mental Health and Substance Use Wellness Centre, opened to patients in the summer of 2020. The second phase, a new Acute Care Tower, is scheduled to open in early 2026.

Royal Columbian Hospital Foundation (RCHF) is an independent charitable organization that raises millions of dollars each year to fund major projects, priority equipment needs, facility enhancements, research, education and innovation at RCH.
Supported by thousands of individuals, businesses, community groups and foundations, RCHF strives to achieve its vision to inspire giving and grow funding so patients have access to the best in health care at Royal Columbian Hospital.
POSITION OVERVIEW
The Marketing & Communications Coordinator supports the smooth execution of the foundation’s campaigns and communications. This full-time role supports the development of donor proposals, newsletters and design materials, coordinates vendor orders and signage updates, and oversees project tracking to ensure timely execution across all channels. The Coordinator also helps maintain the donor wall. The position ensures operational support is in place to help the team deliver high-quality marketing and communications products.
RESPONSIBILITIES
Content & Design Production
• Create and send out newsletters and event invitations using the Foundation’s e-newsletter platform.
• Design basic layouts for print and digital assets, including social media graphics, proposals, donor signage, and event materials. Coordinate with external designers for more complex materials.
• Collaborate with team members to format and prepare materials for delivery or publication.
Donor Proposal & Stewardship Support
• Assemble, format, and support production of donor proposals, impact reports, donor correspondence, and other communications materials.
Vendor & Inventory Coordination
• Coordinate vendor orders for signage, printing, and other outsourced marketing materials.
• Liaise with vendors for timely delivery and issue resolution.
• Maintain and replenish inventory of branded merchandise (swag) and brochures; manage fulfillment of internal requests.
Signage & Onsite Displays
• Maintain and update hospital billboards and internal digital and physical signage.
• Conduct weekly refills of hospital brochure holders (e.g., magazines, rack cards).
Donor Wall Administration
• Coordinate the annual donor wall update process, including list management, production timelines, and liaison with vendors and Foundation team members.
Project & Task Coordination
• Maintain project tracking systems to ensure timely coordination and execution of communications initiatives.
• Flag and monitor new tasks to keep team members aligned on progress and deadlines.
• Process invoices in a timely manner.
PROFESSIONAL/TECHNICAL CAPABILITIES
• Strong organizational and project coordination skills; able to manage multiple concurrent tasks with attention to deadlines and detail.
• Familiarity with donor-centered communications and sensitivity to working in a fundraising environment.
• Experience formatting and assembling communications materials such as proposals, reports, and invitations.
• Comfort using digital tools and platforms, including e-newsletter software (e.g., Campaigner), basic graphic design software (e.g., Canva), and project tracking tools (e.g., Monday).
• Excellent verbal and written communication skills, including proofreading and formatting accuracy.
• A collaborative, solutions-oriented approach with strong interpersonal skills and the ability to work effectively with internal teams and external vendors.
• Sound judgment, discretion, and professionalism, particularly when handling confidential or time-sensitive materials.
• Basic familiarity with branded merchandise, print production, signage, and vendor coordination.
• Confidence working in a fast-paced, mission-driven environment where priorities may shift quickly.
• Experience with Microsoft Office Suite. Familiarity with WordPress and CRM tools such as Raiser’s Edge is an asset.
QUALIFICATIONS
• Post-secondary degree or diploma in Communications, Marketing, Graphic Design, or equivalent experience.
• Minimum 2 years of relevant experience in a marketing, communications, or administrative coordination role, preferably in a non-profit, healthcare, or agency environment.
• Demonstrated ability to manage day-to-day administrative and operational functions.
• Experience preparing content for newsletters, proposals, event materials, or digital platforms.
• Ability to work both independently and collaboratively within a team environment.
• Positive, can-do attitude and strong commitment to delivering high-quality work in support of an organizational mission.
