Marketing and Administrative Coordinator- Role Description

Common Compass is a registered charity which partners with schools and school boards to strengthen social-emotional wellbeing, mental health and belonging through in-school evidence-based workshops and training for students (K-12), educators, and parents. All of our customized programs are developed and delivered by our team of mental health and education professionals and are tailored to the unique strengths and challenges of each school community. Over the last 13 years we have worked across 8 school boards and with more than 14,000 students, parents and educators. Common Compass is an approved board mental health partner of numerous school boards, including TDSB.

As our Marketing and Administrative Coordinator, you will be joining a small and mighty organization, committed to supporting schools and youth organizations to transform into environments which support student success, and cultivate leadership skills that can last a lifetime.

Role: Marketing and Administrative Coordinator (Primarily Remote)

This role supports the Executive Director and the Lead Facilitator. As the Marketing and Administrative Coordinator, you will be responsible for the creation of all marketing materials, leading communications strategies and execution and all social media content creation and management.

Additionally, you will be responsible for supporting the administrative needs of the organization. This will include, for example, creating and tracking staff contracts, invoices and payment.

Compensation and Contract Details:

  • $22.00- $24.00 an hour (consumerate with experience)
  • 24 hours a week– At least 20 hours per week must be completed between 9am-3pm, Monday- Friday.
  • Remote, outside of:

○ Occasional on-site trips to GTHA programs; est. 4 days per contract period

○ Occasional support at on-site conferences in the GTA

  • Start date: September 2nd, 2026
  • End Date: December 18th , 2026 (with possibility of contract extension to July 2nd, 2027 based on funding and performance)

Responsibilities:

Marketing and Communication Responsibilities:

  • Create and post weekly social media posts
  • Manage Common Compass’ posting schedule across all social media platforms
  • Create and post promotional assets for various programs and events
  • Leading writing copy for e-newsletters, e-communications as well as LinkedIn posts
  • Creating and executing an organizational comms calendar
  • Observe up to 4 programs in-person throughout the contract period to take photo and video content at schools in the GTHA
  • Provide leadership to the annual crowdfunding campaign through video capture, editing, creation of comms plan, social media posts, etc.
  • Supporting the marketing and communications of various in-person and virtual events such as; bi-monthly Lunch n’ Learn Webinars, Fundraising Campaigns, etc.

Administrative Responsibilities:

  • Creating, sending, and tracking program invoices & payments
  • Creating, sending, and tracking facilitator contracts
  • Coordinating committee meetings and minutes
  • Other administrative support as required

Requirements:

  • Professional and/or academic background in marketing, content creation, or communications
  • Experience in using Canva and/or graphic design software
  • Experience with Meta Suite
  • Experience with MailChimp
  • Experience in creating and maintaining a communications/ posting schedule
  • Experience in creating and execution organizational communications strategies
  • Excellent verbal and written communication skills
  • Strong organizational and administrative skills
  • Previous administrative and/or project management experience
  • Experience with taking photo and video content
  • Experience with video editing

Nice to haves:

  • Previous experience in a charity/ non-profit environment
  • Experience with WordPress and/or website design
  • Experience with Google Workspace
  • Familiarity with project management software such as Asana, Trello, Notion, etc.
  • Familiarity with video editing, interviewing, video taping
  • G2 or G license and access to a vehicle
