POSITION DESCRIPTION

Manager, Membership Recruitment, Retention and Programs

The Manager, Membership Recruitment, Retention and Programs is a key member of the Hemophilia Ontario team, responsible for strengthening membership engagement, expanding outreach to people with inherited bleeding disorders and their families, ensuring member value and supporting the delivery of programs, services, and education across Ontario. The role works closely with members, volunteers, Hemophilia Treatment Centres (HTCs), clinics, health care practitioners, community partners, and stakeholders to identify potential members, reduce barriers to participation, and connect individuals and families with appropriate Hemophilia Ontario supports.

The Manager is expected to contribute as a cooperative, positive, and solutions-focused team member, working collaboratively with colleagues and volunteers to advance Hemophilia Ontario’s mission of improving the health and quality of life of people with inherited bleeding disorders.

Membership Recruitment & Outreach

  • Membership Recruitment Strategy: Develop and implement a province-wide membership recruitment strategy to identify, engage, and welcome people with inherited bleeding disorders and their families. Grow and expand the HO membership numbers.
  • HTC and Clinic Relationships: Build and maintain positive working relationships with Hemophilia Treatment Centres, clinics, nurses, social workers, physicians, and allied health professionals to support appropriate referrals and awareness of Hemophilia Ontario programs and services.
  • New Member Engagement: Create and oversee a welcoming process for new members, including orientation materials, introductory communications, follow-up contact, and connection to relevant supports.
  • Community Outreach: Plan and deliver outreach activities across Ontario to increase awareness of Hemophilia Ontario among individuals, families, caregivers, and communities affected by inherited bleeding disorders.
  • Membership Data: Maintain accurate membership records, monitor recruitment and engagement trends, and prepare membership updates for planning, reporting, and evaluation purposes.
  • Barriers to Participation: Identify barriers that prevent individuals and families from joining or participating in programs and recommend practical strategies to improve access, inclusion, and engagement.

Program Planning & Delivery

  • Program Coordination: Plan, coordinate, and evaluate membership-focused programs, education sessions, workshops, community days, webinars, and support activities that respond to member needs.
  • Member Support Services: Support members in accessing Hemophilia Ontario services, including information, education, financial assistance processes, and referrals to appropriate community or health care resources.
  • Regional Engagement: Work with regional volunteers, community representatives, and health care partners to support program delivery in communities across Ontario.
  • Education and Resources: Develop and update educational materials, program guides, member information packages, and presentations to support understanding of inherited bleeding disorders and available services.
  • Program Evaluation: Collect participant feedback, assess program effectiveness, and prepare evidence-based recommendations to improve quality, relevance, and impact.

Volunteer & Community Partnerships

  • Volunteer Engagement: Recruit, orient, support, and recognize volunteers who contribute to membership outreach, program delivery, peer connection, and community engagement activities.
  • Committee Support: Coordinate volunteer committees or working groups as assigned, including meeting schedules, agendas, minutes, follow-up items, and progress tracking.
  • Community Partnerships: Develop and maintain relationships with community organizations, health charities, social service agencies, and other partners to increase awareness, collaboration, and referral pathways.
  • Inclusive Participation: Promote inclusive, respectful, and accessible participation for members of all ages, backgrounds, regions, and family circumstances.

Women’s Program Development

  • Women’s Program Strategy: Develop and implement a dedicated women’s program for women and girls with bleeding disorders, with a focus on addressing their unique health, social, emotional, educational, and support needs.
  • Online Community: Create and support a safe, respectful, and inclusive online community where women and girls with bleeding disorders can connect, share experiences, access reliable information, and support one another.
  • Interactive Learning: Plan and coordinate interactive learning opportunities focused on topics relevant to women and girls with bleeding disorders, including diagnosis, treatment, self-advocacy, mental health, reproductive health, life transitions, and navigating health care systems.
  • Women’s Weekends and Events: Develop and deliver annual women’s weekends, peer support gatherings, workshops, and other events that foster education, connection, leadership, confidence, and community among participants.
  • Health Care and Community Collaboration: Work with HTCs, clinics, health care practitioners, volunteers, and community partners to identify emerging needs, develop appropriate resources, and promote awareness of bleeding disorders among women and girls.

Online Education & Member Learning

  • Online Education Strategy: Develop and implement an online education strategy for members, families, caregivers, volunteers, and stakeholders to support ongoing learning and engagement.
  • Medical Updates: Coordinate online educational sessions that keep members informed about new medical enhancements, treatment developments, care practices, research updates, and emerging information related to inherited bleeding disorders.
  • Professional and Personal Development: Plan learning opportunities that support personal development, self-advocacy, leadership, volunteer development, peer support skills, and informed participation in health care decision-making.
  • Expert Presenters: Identify and coordinate qualified speakers, health care professionals, researchers, community partners, and subject matter experts to deliver accurate, accessible, and relevant educational content.
  • Accessible Learning Resources: Develop and maintain online learning materials, recordings, summaries, resource lists, and follow-up communications to ensure members can access information in a timely and practical way.

Position Related Administration & Finance

  • Budgeting: Prepare and monitor budgets for assigned membership recruitment and program activities, including projected revenue, expenses, and staff or volunteer-related costs.
  • Reporting: Prepare regular updates for the Executive Director on membership recruitment, engagement activities, program participation, outcomes, and emerging member needs.
  • Grants and Funding Support: Assist with identifying, preparing, and reporting on grant or funding opportunities that support membership outreach, education, member services, and program delivery.
  • Policies and Procedures: Support the development, review, and implementation of policies, procedures, forms, and processes related to membership, program delivery, privacy, accessibility, and member support.
  • Records and Documentation: Maintain organized records, program files, participant lists, evaluation summaries, and administrative documentation in accordance with organizational practices.

Education & Experience

Hemophilia Ontario values demonstrated experience, sound judgment, relationship-building ability, and practical knowledge of community-based service delivery. Candidates are expected to bring a combination of relevant education and experience, with equivalent lived, volunteer, professional, or community experience considered where it clearly supports success in the role.

  • A minimum of five years of relevant experience in membership engagement, community outreach, program coordination, volunteer support, patient support in a nonprofit setting is preferred.
  • Post-secondary education in nonprofit management, communications, education, or a related field is an asset. An equivalent combination of education, employment experience, volunteer leadership, lived experience, and community involvement will be considered.
  • Familiarity with Ontario’s health care, community service, nonprofit, volunteer, and patient support systems is an asset.
  • Strong communication, facilitation, organization, record-keeping, collaboration, and relationship-building skills are required, along with the ability to work respectfully with members, families, volunteers, health care professionals, and community partners.

Other Duties as Assigned

Perform other duties as assigned by the Executive Director that are consistent with the purpose and responsibilities of this position and support the effective operation of Hemophilia Ontario.
