Title: Manager, Events and Clubs

Reports To: Director, Student Engagement & Supports

Department: Communications & Events

Employment Type: Full-time

Compensation: $75,000-$80,000/Year

Work Hours: 35 hours/week, Monday to Friday, with frequent evening and weekend work. Frequent periods are spent standing or sitting. Frequently required to lift/handle material or equipment of moderate weight.

Location: Progress Campus (travel between campuses is required). Hybrid work arrangement available (remote and in-person).

Overview

The Events & Clubs Manager oversees the planning, development, and execution of events and club activities that support the Centennial College Student Association Incorporated (CCSAI). The Events & Clubs Manager works effectively to build and maintain supportive relationships with student leaders and plays a key role in ensuring that all offerings are in support of CCSAI strategy and in alignment with its Mission, Vision, and Pillars.

This position directly leads, works with, and provides support to students and student leaders.

Duties and Responsibilities

Event Planning & Execution

  • Develop event concepts, plans, timelines, and budgets aligned with organizational priorities.
  • Manage all event logistics, including audiovisual requirements, catering, décor, signage, and registration processes.
  • Lead on‑site execution to ensure smooth operations, high service standards, and timely issue resolution.
  • Serve as the primary contact for internal departments, external partners, suppliers, and sponsors.
  • Negotiate contracts and maintain strong relationships with vendors and service providers.
  • Collaborate with communications and marketing teams on event messaging, branding, and promotion.
  • Collaborate with Vice-President Internal on event conceptualization and idea generation.

Club Program Management

  • Oversees the logistics of student clubs, providing feedback on club policy development, and work with multiple stakeholders to promote club events and encourage student participation
  • Develops and implements new clubs based on requests and interests of the student body
  • Assigns, approves, and monitors budgets for the student clubs while working with the Marketing and Communications team to ensure fiscally responsible cost management
  • Sit on the Clubs Executive Committee as staff support or assign a designate.

Budget & Administration

  • Prepare and manage event budgets, track expenses, and ensure cost‑effective planning.
  • Process invoices, reconcile costs, and provide financial reporting as required.
  • Manage club budgets, provide support and guidance to the Club Liaison and individual clubs in conducting financial planning.
  • Ensure compliance with organizational policies, venue regulations, and necessary permits.

Risk Management & Safety

  • Identify potential risks and develop contingency plans for all CCSAI events and club events to mitigate issues.
  • Oversee accessibility, safety procedures, and compliance with legal and venue requirements.

Evaluation & Reporting

  • Collect attendee feedback, evaluate event performance, and prepare post‑event reports.
  • Recommend improvements to enhance event impact, efficiency, and attendee satisfaction.
  • Create an annual work plan subject to evaluation by senior staff.

Human Resources Management

  • Responsible for determining staffing requirements, hiring, scheduling, and performance enablement for the team
  • Coaches and mentor’s staff/volunteers, empowering them, providing guidance, and facilitating opportunities for them to achieve their learning outcomes
  • Assists with development, implementation and oversight of leadership development programs for student staff, club executives and volunteers
  • Accountable for executing and adhering to CCSAI’s performance enablement program which includes providing clear expectations, ongoing coaching, and feedback, providing opportunities for learning and development, and holding teams accountable
  • Be conversant with, and fully adhere to, the bylaws, rules, regulations, policies and procedures of the CCSAI, the College, and the Ontario Human Rights Code

Key Knowledge and Qualifications

  • Intermediate experience in an events environment
  • Post-Secondary Education in a related field (i.e., Event Management, Marketing, Project Management, Logistics) or equivalent experience
  • Demonstrated ability to effectively program a year-long special events calendar in a student-focused environment
  • Experience working with students and volunteers and managing, supervising, and orientating people for events
  • Experience with Microsoft and MAC Office Suite of products
