About the Schlegel-UW Research Institute for Aging

The Schlegel-UW Research Institute for Aging (RIA) is a charitable non-profit organization that partners with the University of Waterloo, Conestoga College, and Schlegel Villages to enhance care and quality of life for older adults. Through engagement with key partners and collaborators, RIA supports practice relevant research and knowledge mobilization. Research evidence is used to inform programs, education and training, and influence practice and policy.

RIA Programs aims to spread and scale best practices and evidence-informed education, resources and products. Our resources are co-designed collaboratively with people with lived experiences, health and social care providers and community members. The overall goal of the program’s department is to enhance the well-being of older adults in collaboration with RIA team members, researchers, and key partners through education, research and resource development.

Role Overview

The Knowledge Mobilization (KMb) Manager is a self-motivated and proactive team member who leads the planning, co-design, and implementation of knowledge mobilization initiatives from inception to completion. This role strategically connects the dots across RIA research and programs, applying best practices to expand the reach and real-world impact of our findings. The KMb Manager collaborates closely with RIA researchers, communications teams, external partners, and those with lived experience to connect, integrate, and mobilize research while tracking and learning from its effectiveness to improve the quality of life and well-being of older adults and their care partners.

Key Accountabilities

  1. Knowledge Mobilization: Provide leadership to the development, adoption, and execution of tailored KMb strategies rooted in co-design principles and best practices, ensuring strong alignment with RIA’s strategic plan. Maintain a proactive pulse on upcoming RIA research, identifying critical intersections and opportunities to proactively mobilize knowledge to meet the evolving needs of target audiences. Guide, create, and deploy engaging, high-quality KMb resources across diverse formats, including reports, knowledge syntheses, infographics, research summaries, web resources, and videos. Additionally, build and execute active follow-through and implementation strategies that support end-user adoption, while systematically tracking and learning from the reach, uptake, and overall effectiveness of RIA’s KMb approach.
  2. Partner Engagement: Build and nurture strong, trusted relationships with multiple external partners to actively engage in co-design, disseminate resources, and close the loop to ensure partners see the direct outcomes of their contributions. Consistently engage with key sector partners to uncover their needs and interests, ensuring KMb initiatives bridge those gaps effectively. Represent the RIA through participation in external committees, working groups, and communities of practice from time to time.
  3. Teamwork & Project Management: Work collaboratively with RIA team members to foster and support the adoption of a shared knowledge mobilization mindset and approach across the organization. Build and maintain detailed project workplans, successfully navigating competing priorities, tracking milestones, and coordinating diverse partners to meet desired deliverables. Pro-actively and regularly communicate with the project team and leadership regarding project updates, including obstacles and challenges as they arise. Additionally, provide advice and subject-matter expertise to help various RIA programs and projects effectively scope KMb into their work from the outset.
  4. Communication: Synthesize clinical and academic findings into clear, impactful, jargon-free, and person-centered language tailored to diverse target audiences. Communicate effectively with a wide range of partners, including researchers, clinicians, community organizations, older adults, people with lived experience, and their care partners. Document and maintain project files to maximize internal information sharing and to facilitate practice change.
  5. Other: Take on additional tasks, activities and special projects, as they arise.

Position Requirements

Education:

University degree in social sciences, public health, health services research, education research or related field. Certificate and/or structured training in knowledge mobilization (or equivalent professional experience) is required.

Skills and Experience:

  • Minimum of 5 years of experience leading the development, co-design, and implementation of knowledge mobilization plans, resources, and activities for research outcomes and projects.
  • Strong understanding of practical knowledge mobilization frameworks and best practices to reach diverse healthcare and community audiences.
  • Experience developing, tailoring, and deploying relevant knowledge mobilization resources, tools, and products to a wide range of audiences.
  • Demonstrated experience evaluating the reach, uptake, and practical impact of KMb initiatives.
  • Proven success collaborating cross-functionally with internal teams, including communications, to co-design and scale shared initiatives.
  • Exceptional engagement skills, with experience partnering alongside researchers, clinicians, older adults, and care partners in a true co-design process.
  • Exceptional written and verbal communication skills, with a proven ability to translate complex clinical and academic findings into clear, jargon-free, and person-centered language.
  • Robust project management skills, with a demonstrated ability to build detailed workplans, track milestones, and successfully navigate competing priorities.
  • Self-starter with a proactive attitude who can anticipate needs, connect dots across projects, and demonstrate strong organizational skills.
  • Experience using databases, CRMs (e.g. Hubspot) is an asset.
  • Knowledge about, Accessibility for Ontarians Disability Act (AODA), the senior living sector and / or education sector is an asset.
  • Proficiency in the use of computers and various software applications including, Google, Microsoft Office Suite (Word, Excel, PowerPoint), webinar platforms.

Additional Requirements:

  • Fluency in English. Fluency in French is an asset but not required.
  • Must have a valid driver’s licence and be available for occasional travel.
  • Eligible to obtain a clear police background and record check.
  • Eligible to work in Canada.

Scope of Work

  • Interpersonal Skills: Communicates effectively with internal teams and external partners; represents the RIA with high professionalism at events and in all communications.
  • Level of Responsibility: Accountable for the efficient, on-time implementation of project objectives in strict alignment with funding and organizational goals.
  • Decision-Making Authority: Empowered to make operational, day-to-day choices regarding project tasks with proactive support and alignment from the supervisor.
  • Physical & Sensory Demands: Typical of an office environment. Involves extended periods of sitting, screen time, concentration, and attentiveness to detail amidst regular collaborative workplace interactions.
  • Working Environment: Primarily dynamic office work paired with a hybrid policy. The work is fast-paced, assignments change frequently, and deadline pressures demand thoroughness and accuracy. Occasional travel required.
