SUMMARY:
Reporting to the Manager of Digital Infrastructure, the IT Coordinator’s key role at Amnesty International Canada-English Speaking Section (AICES) is to help architect the infrastructure and maintain availability and performance of all systems and devices. The IT Coordinator will be responsible for identifying internally and externally hosted infrastructure requirements, coordinating the configuration and maintenance of all hardware and software components, monitoring of the overall infrastructure, ensuring performance requirements are maintained arranging support coverage.
The IT Coordinator will work closely with colleagues across the section to contribute to improving processes, practices, systems and tools with the ITS department to ensure they are equitable, transparent and efficient. In addition, this role will support the implementation and rollout of any new platforms, tools and ways of working that are aligned with strategic priorities and our ongoing commitment to ARAO-DEI.
WHAT YOU’LL DO
- Ensures the Digital Infrastructure (facilities, data centers, servers, networking hardware, desktop computers and enterprise application software solutions) is properly maintained, supported and available to all users with minimal downtime through coordination and collaboration with the ITS Support Specialist and the IT Managed Services vendor.
- Coordinates robust support systems for Amnesty staff and volunteer leaders, ensuring they receive the essential resources and assistance needed to excel in their roles. Serves as an escalation point for both the ITS Support Specialist and IT Managed Helpdesk teams, stepping in to proactively diagnose and troubleshoot technical and operational challenges, delivering prompt solutions, and implementing preventive strategies to mitigate future issues. By cultivating a responsive and supportive environment, this role is vital in allowing staff and volunteers to concentrate on their advocacy and mission-driven work without interruptions.
- Serves as the central point of contact for all digital infrastructure service providers and vendors, overseeing and managing these critical relationships. This includes coordinating communications, negotiating contracts, maintaining internal records and contacts, ensuring service level agreements (SLAs) are met, and resolving any issues that arise. Maintains strong, collaborative partnerships, to ensure that the organization’s digital infrastructure operates smoothly and effectively, supporting overall business objectives.
- Identifies training needs and works closely with the ITS team to develop and deliver training solutions that are accessible and equitable for Amnesty Canada communities
- Assists the ITS team and other departments by reviewing current and future organizational business processes to ensure they are efficient and equitable and can support Amnesty’s operational framework and strategic priorities.
- Supports the cross-organizational assessment process of selecting emerging digital tools and systems that add value, create efficiencies, and align with the strategic goals of the organization.
- Develops and maintains guidelines and documentation for digital infrastructure components in plain language and accessible formats. This includes, but is not limited to process and data diagrams, instructional word documents, infographics or videos
- Specializes in configuring Microsoft 365 applications and systems to align with dynamic business needs. This involves thoroughly analyzing and defining specific requirements, adjusting and optimizing systems for enhanced performance, and developing robust business processes. Implements effective solutions to address complex challenges, and provides comprehensive staff training to ensure seamless adoption and efficient use of the tailored systems.
- Takes a progressive role in the development and ongoing management of the AICSES’ data and information systems, with a particular emphasis on optimizing and sustaining the Microsoft 365 SharePoint and Teams environments.
- Contributes to the development and ongoing administration of AICSES’ data management digital environment, including but not limited to the organization’s CRM/EMS.
- Provides procurement assistance to the ITS team with an equitable lens, including researching solutions, engaging with potential vendors and solution providers that value ARAO-DEI, making product recommendations, and initiating purchase agreements and statements of work.
- Leads the creation and implementation of application and systems policies, ensuring they align with organizational goals and industry best practices. This includes developing guidelines for usage, security, and compliance, as well as overseeing the communication and enforcement of these policies to maintain a secure and efficient technological environment.
- Coordinates, maintains, and continuously improves cybersecurity guidelines and protocols to protect the organization's digital assets. This includes developing comprehensive security strategies, establishing clear protocols for data protection, and ensuring adherence to industry standards. Additionally, builds initiatives to enhance user awareness through targeted training programs, empowering staff and stakeholders with the knowledge and skills needed to recognize and respond to cybersecurity threats effectively. By fostering a culture of security awareness, this role plays a critical part in safeguarding the organization against potential cyber threats.
- Assists with the preparation of the capital and operating budgets based on estimated and actual expenditures for ITS systems, services, and support needs.
- Coordinates all system administration processes. Including, but not limited to, end-user account management, system, services, and device upgrades, installations and implementations, and setting security and access to company resources
- Works closely with the Manager of Digital Infrastructure, on infrastructure-related contract management processes
- Acts as the key point of contact for all hosted digital infrastructure components (i.e. Domain Name Registrations, DNS hosting updates and changes, purchasing and renewing of SSL certs for all hosted environments)

MINIMUM QUALIFICATIONS:
Education:
Bachelor’s Degree and/or Master’s Degree in Information Technology, Computer Science, Management Information Systems (MIS), Business Administration.
Experience:
Minimum of 3-5 years professional experience or equivalent, particularly in roles that involve project coordination, management, or IT strategy.
Experience with Enterprise Resource Planning (ERP) systems, Customer Relationship Management (CRM) systems, and other large-scale IT systems
Knowledge/Skills:
- Proficiency in managing and coordinating complex IT systems and networks.
- Skills in planning, executing, and managing IT projects, including budgeting and resource allocation.
- Understanding of advanced cybersecurity principles and practices.
- Ability to analyze existing systems and design improvements or new systems.
- Understanding of cloud services and infrastructure, including cloud deployment models and cloud security.
- Strong leadership and team management skills to coordinate IT staff and projects.
- Strong interpersonal skills to build relationships and collaborate across departments.
- Skills in strategic planning and implementation of IT initiatives aligned with organizational goals.
- Understanding of business processes and how IT can support organizational goals.
- Skills in managing data systems, databases, and ensuring data integrity and security.
