OVERVIEW OF THE POSITION

Reporting to the Associate Director of Human Resources and working closely with members of the Operations team, the Human Resources Specialist fulfills essential Human Resources functions in support of CBRC’s mission and internal culture. They coordinate hiring processes from recruitment to orientation, ensure employee files are accurate and up-to-date, lead benefits administration, support payroll processing, maintain our Human Resources Information System (ADP Workforce Now) and internal HR calendars, support policy development and implementation, and ensure compliance with Employment Standards Acts and other regulatory frameworks across multiple jurisdictions.

KEY RESPONSIBILITIES

The position is responsible for the following five (5) key functions.

Recruitment, Selection, and Onboarding (35%):

  • Coordinates hiring processes including: creating job descriptions and postings (based on information provided by hiring managers), prescreening candidates, coordinating interviews, checking references, and drafting employment agreements;
  • Coordinates onboarding processes for new hires, including: liaising with hiring manager and operations coordinator to insure technical and other needs are met, preparing materials and information for orientation and other meetings, facilitating orientations;
  • Maintains and updates templates, forms, and records associated with hiring processes.

Employee Records and Documentation (35%):

  • Maintains internal HR calendars including tracking employee start dates, benefits eligibility, performance management schedules, and monthly / quarterly / annual tasks;
  • Maintains accurate and up-to-date employee files;
  • Ensures compliance with data protection and confidentiality regulations;
  • Processes employment changes (salary increases, promotions, terminations, etc);
  • Maintains information, forms, and other documents on various platforms (Drive, ADP Workforce Now, etc);
  • Handles sensitive and confidential information with discretion and tact.

Benefits Administration and Payroll Support (10%):

  • Coordinates administrative processes related to extended health and other benefits (adding / updating / terminating enrolments);
  • Acts as main point of contact for employees with questions about benefits coverage;
  • Supports payroll processing, midyear balancing, and year-end processes.

Policy Development & Compliance (10%)

  • Supports and participates in the development of progressive, people-centred, anti-oppressive policies, particularly those related to Human Resources practices;
  • Ensures comprehensive policy materials and supporting documents are easily available;
  • Creates alternate-format versions of existing and new documents for accessibility purposes;

Other Duties & Responsibilities (10%)

  • Attends and actively participates in team, department, program/project and all-staff meetings.
  • Participates in caucuses, working groups, and committees as needed.
  • Other duties as assigned/required.

CRITICAL SKILLS

  • Intermediate 2S/LGBTQIA+ cultural competencies, often gained through lived or living experience and/or close connections to community; some knowledge of issues facing 2S/LGBTQIA+ communities gained through lived or work experience.
  • Excellent communication skills, including the ability to exercise courtesy, tact, and diplomacy relating to the exchange of information.
  • High awareness of processes in handling sensitive and confidential information

EDUCATION AND EXPERIENCE

Required:

  • 2-3 years of experience in Human Resource Management, ideally in the not-for-profit sector.
  • A degree, diploma, or certificate in Human Resource Management, or equivalent experience (3-5 years at administrator or coordinator level).
  • Minimum 1 year experience using ADP Workforce Now at “User Administrator” level or higher
  • Familiarity with Employment Standards Acts and other relevant regulatory frameworks across at least two jurisdictions.
  • Demonstrated familiarity with one or more of the following: Workplace Accommodations processes; EDI initiatives and anti-oppressive frameworks; learning & development practices.
  • Demonstrated ability to manage multiple competing priorities and self-direct workflows.

Preferred:

  • Ability to work in French.
  • 1-2 years payroll and / or benefits administration.
  • Demonstrated experience working in a remote / national organization.
  • Demonstrated experience coordinating hiring processes, including recruitment & selection.
