HR Operations Administrator

Department: People, Culture & Administration

FTE: 1.0 (37.5 Hours a Week)

Location: Calgary, AB (Hybrid, 3 days a week in office, 2 days remote)

Annual Salary Range: $48,000 - $55,000, commensurate with experience, plus a comprehensive benefits package

Anticipated Start Date: As soon as possible, based on the successful candidate's availability

About the Position:

As HR Operations Administrator, you'll own the full employee lifecycle at Wycliffe Canada:

onboarding, offboarding, recruitment support, benefits administration, and HR compliance. This is a role for someone who closes the loop, not opens a ticket.

Key Responsibilities

Staff & Employment Lifecycle

  • Manage the full employee journey from onboarding through offboarding — coordinating documentation, cross-functional handoffs, and ensuring nothing falls through the cracks
  • Prepare and route employment documents (contracts, MOUs, role changes, verification letters) via Adobe Sign and maintain accurate records throughout
  • Monitor key employment milestones — 3-month reviews, employment agreement renewals, and performance review cycles — and proactively follow up
  • Support recruitment processes in partnership with hiring managers

HR Compliance & Benefits

  • Maintain audit-ready digital and physical employment records in line with Alberta employment standards and organizational policy
  • Administer benefits enrollment, changes, and invoice reconciliation with providers (Canada Life, Manulife), and serve as staff's go-to for benefits questions
  • Participate in the Policy Review Committee and keep the internal Wiki current with approved policy updates
  • Identify compliance gaps and recommend corrective action

Employee Experience & Operations

  • Own the People & Culture shared inbox — resolving HR inquiries directly with accuracy and care
  • Draft staff announcements, onboarding communications, and the Employee Handbook in collaboration with the Executive and HR Operations Manager
  • Support HR systems implementation, maintain SOPs, and contribute to reporting for PCA leadership
  • Coordinate the Best Christian Workplaces Institute survey and manage the Calgary Alberta Productivity Grant

Education and Experience

  • Diploma in Human Resources, Business Administration, or a related field — or an equivalent combination of education and experience
  • 3–5 years of experience in HR administration or a generalist HR role; nonprofit sector experience is an asset
  • CPHR designation or active coursework toward it is welcome, though not required
  • Working knowledge of the Alberta Employment Standards Code and nonprofit HR compliance practices

Skills and Attributes

  • Proficiency with digital tools, including Google Workspace, HRIS platforms, Adobe Sign, and Zoom
  • Strong critical thinking and analytical skills, with the ability to apply sound judgment when handling sensitive or confidential information
  • Able to manage multiple priorities independently, follow through without repeated direction, and flag risks proactively
  • Collaborative and solution-oriented, with a proactive approach in high-volume or time-sensitive periods
  • Strong written and verbal communication skills, with an ability to respond to staff inquiries directly and with care
  • Alignment with Wycliffe Canada’s mission and genuine comfort working in a faith-based environment
