Purpose:

The Grants & Institutional Funding Officer stewards Effect Hope’s institutional funding pipeline by continuously scanning for aligned opportunities, coordinating end‑to‑end proposal development, and enabling timely, high‑quality submissions to institutional donors.

Highly structured and process‑oriented, this role establishes clear workflows, timelines, and quality standards that keep internal contributors synchronized and proposals compliant, competitive, and compelling.

By pairing disciplined pipeline management with strong proposal governance, you ensure Effect Hope is strategically positioned for upcoming calls, strengthens win rates, and helps build a resilient, diversified portfolio of institutional partnerships.

RESPONSIBILITIES

Funding Intelligence and Pipeline Management

  • Identify and track institutional funding opportunities from bilateral donors, foundations, multilaterals, and other institutional funders.
  • Apply an understanding of the global health funding landscape and Canadian institutional funding environment to identify strategic opportunities.
  • Maintain and manage a grants pipeline, including timelines, donor requirements, and internal responsibilities.
  • Monitor donor trends, priorities, and funding strategies to inform organizational positioning.

Proposal Development and Submission

  • Lead coordination of proposal development processes, including timelines, compliance, and internal inputs.
  • Support drafting, editing, and quality assurance of proposals, concept notes, and budgets in collaboration with technical and finance teams.
  • Ensure proposals align with donor priorities and Effect Hope’s strategic direction.
  • Coordinate submission processes and donor communications related to applications.

Grant Management Support

  • Support tracking of reporting deadlines and compliance requirements in collaboration with programs and finance teams.
  • Maintain organised records of submissions, donor feedback, and lessons learned.
  • Contribute to continuous improvement of grant development tools, templates, and processes.

Strategic Collaboration

  • Work closely with the Policy & Partnerships Officer to align funding opportunities with advocacy, partnerships, and positioning efforts.
  • Support internal planning processes by providing intelligence on funding landscapes and feasibility.

QUALIFICATIONS/QUALITIES

Education

  • Bachelor’s or Master’s degree in International Development, Public Health, or a related field.

Experience

4+ years of experience in grant writing, institutional fundraising, or resource mobilization

Knowledge, Skills and Abilities

  • Strong analytical and organizational skills, with attention to detail and deadlines.
  • Demonstrated experience supporting or leading proposal development processes.
  • Ability to synthesize technical information into clear, donor-focused narratives.
  • Strong collaboration skills and comfort working across teams.
  • Proficiency in Microsoft Office and strong IT skills; experience with grant management systems an asset.
  • Excellent command of written and spoken English is required. French is an asset.
  • Experience in an International Development NGO is an asset

WORKING CONDITIONS

Location: Markham, Canada (hybrid/remote possible)

Work Environment

Occasional overtime and evening hours may be required to collaborate across time zones. May require domestic and international travel. Regular on‑site attendance at Effect Hope’s office is expected.

Physical Demands

Primarily desk‑based work requiring daily computer and phone use and sustained periods of sitting.

Mental Demands

Fast‑paced, deadline‑driven environment involving active listening, analysis, decision‑making, and managing expectations from managers, peers, and external partners.
