POSITION SUMMARY Join the passionate and growing team at the reimagined Ontario Shores Foundation for Mental Health (the “Foundation”) as our Governance & Operations Officer. This is an exciting opportunity to contribute to our first-ever comprehensive fundraising campaign supporting the critical, life- changing work of Ontario Shores Centre for Mental Health Sciences (“Ontario Shores”). At a time when the need for revolutionary mental health care and research has never been greater, you will play a pivotal role in inspiring hope and investment, while helping to build a culture of generosity that strengthens the vital alignment between the Foundation and Ontario Shores. Reporting to the CEO, you will provide essential operational and executive administrative support to the CEO and Board of Directors. Your expertise and diligence will ensure governance excellence and enable leadership to operate at their highest effectiveness. With a strong focus on donor-centred fundraising, you will deliver exceptional donor service and support critical fundraising and database processes that honour every donor’s intent and investment. KEY ACCOUNTABILITIES Governance & Executive Support
• Coordinate and manage governance activities for the Board of Directors and Committees,
including meeting scheduling, agenda development, materials preparation, minutes, and
effective Board communications.
• Provide high-level administrative and strategic support to the CEO and Management team,
including calendar management, expense tracking, preparation of reports and
correspondence.
• Serve as a key liaison for the CEO with internal and external stakeholders, ensuring timely
follow-up and professional communication.
• Collaborate with the CEO to develop, implement and oversee Foundation policies and
procedures ensuring compliance with by-laws, policies and governance practices and
alignment with Ontario Shores where applicable.

Organizational Effectiveness & Operational Optimization
• Oversee office management, administrative systems and IT processes, driving continuous
improvement in efficiency and technology adoption.
• Maintain office resources, technology assets, and filing systems to ensure efficiency and
operational readiness for the team.
• Support risk management, compliance, and business continuity efforts across the
Foundation.
• Monitor trends and best practices in the non-profit and mental health care sectors to
identify and capitalize on new opportunities to enhance profitability for the Foundation.
Financial Management & Compliance
• Serve as the primary liaison to Ontario Shores’ Finance department and support financial
processes to ensure compliance with Foundation and Ontario Shores policies, audit
requirements, and Canada Revenue Agency (CRA) guidelines.
• Execute month-end and year-end close processes to ensure accurate reporting and
financial reconciliation.
• Monitor the Foundation’s investments, tracking assets and preparing reports for the CEO
and Board Committees as required.
• Support the annual audit process, ensuring deadlines are met and all required
documentation is complete and accurate.
• Administer restricted funds and grant disbursements, ensuring strict adherence to donor
intent and accurate recording of all contributions.
• Manage other accounting and financial functions as required to support effective
Foundation operations.
Donor Relations & Engagement
• Serve as the first point of contact for visitors, donors, and stakeholders—providing a
professional, welcoming, and donor-centred experience.
• Maintain accuracy and integrity of the Raiser’s Edge database through regular donor and
gift entry, reconciliation, and data hygiene initiatives.
• Coordinate donor stewardship activities such as thank-you calls, handwritten notes,
milestone recognition, and personalized engagement touchpoints to enhance donor
relationships.
• Represent the Foundation at signature events and community activities, cultivating
meaningful connections to strengthen awareness and support for Ontario Shores.
KEY QUALIFICATIONS & COMPETENCIES
• University degree or College diploma in business administration, nonprofit management,
or a related field; or equivalent combination of education and experience.
• Expertise in not-for-profit accounting standards and financial reporting an asset.
• Minimum of 3–5 years in fundraising operations, or executive support role, preferably in a
non-profit or healthcare environment.
• Knowledge of Raiser’s Edge and Blackbaud platforms, with strong data and reporting skills
an asset.
• Demonstrated ability to support executive leadership and governance bodies.
• Strong aptitude for technology and willingness to learn new systems.

• Exceptional organizational, project, and time management skills; proven ability to manage
multiple competing priorities.
• Excellent communication, interpersonal, and relationship-building skills amidst a wide
variety of stakeholders.

information.
COMPENSATION The hiring range for this position is $53,000 - 72,000 per annum commensurate upon experience, plus a comprehensive benefits package.
