SUMMARY OF RESPONSIBILITIES

Reporting to the Director of Resource Development, the Fundraising Systems Specialist maintains operational excellence across BGC donor database and integrated systems. Responsibilities include overseeing the accuracy, efficiency, and confidentiality of all data related to donor contributions and fundraising activities. This role works closely with the Resource Development team to implement fundraising campaigns and provide ongoing data analytics and reporting.

JOB DUTIES

Database Management:

  • Oversees donor database maintenance and integrated systems (DonorPerfect, Constant Contact, etc.), including data system security, integrity, system maintenance, interconnectivity, data clean-up, user accounts, settings, and related security policies.
  • Maintains donor management systems and pipelines, ensuring accurate and comprehensive records of donor interactions and contributions.
  • From a systems perspective, supports the President & CEO, and Director of Resource Development in the documentation and intentional approach of their donor work.
  • Trains and coaches team members on database use (e.g. gift coding, structure, and available insights) to ensure consistency and accuracy of data entry.
  • Supports Resource Development team with complex donor transaction issues.
  • Oversees and updates policies and procedures for database systems to ensure consistent practices for data input and gift processing.

Reporting and Analysis:

  • Manages the import and export of data files for appeals, telemarketing and email marketing campaigns, special initiatives, and ad-hoc requests, ensuring accuracy in all data related analysis and reporting.
  • Creates and runs requested queries, data reports, analysis, and/or data files in a timely manner, including analysis of data reports.
  • Develops reports to identify, spot and interpret trends and makes recommendations for adjusting strategies to improve performance.
  • Analyzes financials, campaign performance, and donor data to inform strategies and improve fundraising efforts, ensuring data-driven decision-making.
  • Builds program dashboards to assist staff in measuring and monitoring performance objectives

Fundraising:

  • Uses best practices in fundraising and stewardship and applies those in a complementary defined portfolio of donors that supports BGC’s plans.
  • Oversees donor processing including monitoring and identifying for uncollectable and missed transactions.
  • Supports donor reactivation campaigns and provides campaign analysis.
  • Manages automatic transaction emails, workflows, and donation pages.
  • Manages outside vendors and IT support, as necessary.
  • Supports BGC donor related events as aligned with their portfolio.
  • Other projects and support to Resource Development Team as needed and assigned by Director Resource Development.

REQUIREMENTS

  • Clear Criminal Record Check (Vulnerable Sector)
  • University degree, college diploma, or equivalent relevant training.
  • Minimum two years' experience working with database management software and creating reports, experience with Donor Perfect an asset.
  • Experience in fundraising or a related field required.
  • Excellent analytical skills with strong attention to detail.
  • Ability to identify issues with a solutions-oriented approach.
  • Interest in continuous learning (new skills, techniques, processes, and developing efficiencies).
  • Superior organizational and time management skills with the ability to handle multiple projects independently.
  • Excellent communication (written and oral) and coaching skills, including the ability to communicate complex issues in a concise, professional, and easy to understand way.
  • Proven capacity to work in a self-directed manner and collaboratively in a team atmosphere.
  • High proficiency using computer applications, specifically Microsoft Office Suite.
  • Must be flexible to attend donor-related events that occur on evenings and/or weekends.
  • Experience working directly with supporters and major individual and corporate donors.

This is a full-time (37.5 hrs/week) salary position ($50,700.00 per annum to start) or option to work part-time (30 hrs/week) starting at $40,560.00 per annum. Position includes, group benefits at six months, pension after one year, three weeks paid vacation leave in first year, paid sick and personal leave, paid birthday off and up to 5 days statutory holiday substitution days per year to celebrate/recognize religious, cultural, and/or personal days that are important to the employee where those days are not currently recognized as statutory holidays in BC/Canada).
