Position: Development Coordinator

Reports to: Fund Development Manager

Status: Full-time permanent (5-days per week) Hybrid

Position Overview

The Development Coordinator supports Celiac Canada’s fundraising and donor engagement activities by coordinating development campaigns and projects, processing donations and receipts, maintaining accurate donor records, preparing reports, and responding to donor inquiries.

Reporting to the Fund Development Manager, this role works closely with the manager and internal teams to ensure campaigns, donor communications, CRM processes, and administrative tasks are completed accurately, efficiently, and on schedule.

Positions Tasks

Development Campaigns and Programs

  • Monitor and maintain the annual development schedule, and review progress with the Fund Development Manager
  • Create workback schedules and project checklists
  • Proofread campaign and program materials
  • Monitor and maintain workback schedules, and review updates with the Fund Development Manager
  • Organize and manage development-related documents in SharePoint
  • Gather background information from internal and external sources to support copywriting and project needs
  • Follow up on requests from MarCom and other departments
  • Monitor and maintain development campaigns and projects
  • Prepare campaign, project, and development reports
  • Assist with donation form management
  • Attend meetings and take notes as requested by the Fund Development Manager

Administration, Donation and CRM

  • Open mail, retrieve phone messages, and enter donations into the CRM
  • Respond to donor inquiries, issues, and requests
  • Run scheduled CRM update routines
  • Manage campaign codes in the CRM and donation forms
  • Assist with donor list selections and exports
  • Create and send manual tax receipts as required
  • Set up and monitor CRM processes to ensure emailed tax receipts and acknowledgement letters are delivered successfully
  • Update acknowledgement letters as required
  • Update donor records in the CRM as required
  • Run and review CRM and deposit reconciliation reports, and correct errors as needed
  • Run regular revenue and response reports
  • Export files as requested
  • Import files as requested

Development Administrative Support

  • Provide team members with documents and materials as requested
  • Mail documents and materials to donors and other contacts as requested
  • Attend team meetings, take notes, and support follow-up actions

Required Qualifications

  • Exceptional attention to detail, with a strong focus on accuracy and consistency
  • Highly organized, with the ability to manage multiple priorities and deadlines
  • Strong proficiency with Microsoft Excel
  • Experience using Microsoft Teams and SharePoint
  • Minimum of 2–3 years of experience in fundraising
  • Experience with CRMs and donor management software

Remuneration and Benefits

  • Annual salary range of $45,000–$53,000
