
Fundraising Administrator
Position Summary
The Fundraising Administrator plays a key role in supporting the growth and sustainability of JAZZ.FM91’s annual fundraising initiatives. Reporting to the Fundraising Lead, this position supports active fundraising efforts by managing and growing the station’s monthly giving and annual giving programs (donations up to $999).
In collaboration with the Membership and Database Manager, and under the guidance of the Fundraising Lead, the Fundraising Administrator helps develop and implement strategies to solicit, renew, and steward monthly and annual donors. Working closely with the Membership and Database Manager, the Fundraising Administrator ensures that all fundraising activity is accurately recorded and maintained in the donor database and oversees the processing of monthly donations. This role also supports donor engagement and stewardship activities, including fundraising events, donor tours, and select station initiatives such as the Host Your Own Radio Show program.
Key Responsibilities
Donor Programs & Fundraising Support
- Support the development and implementation of strategies to retain and grow monthly and annual donors.
- Manage administrative aspects of the monthly giving program, including donation processing and donor communications.
- Contact monthly donors in advance of credit card expiry to secure updated payment information.
- Conduct proactive monthly donor outreach, including select upgrade requests.
- Assist the Fundraising Lead and Fundraising Officer in planning and coordinating on-air fundraising appeals and other fundraising or engagement initiatives.
Donor Stewardship & Engagement
- Coordinate donor stewardship activities, including volunteer thank-you calls and handwritten thank-you notes.
- Assist with donor cultivation and stewardship events, including tracking attendance, preparing donor lists, and supporting event logistics.
- Support donor-facing programs such as station tours and the Host Your Own Radio Show initiative.
- Identify opportunities to improve donor experience, administrative processes and stewardship practices.
Database & Administration
- Work closely with the Membership and Database Manager to ensure donor records are accurate and up to date.
- Assist with data entry, reporting, and donor record maintenance based on donor communications and fundraising activity.
- Ensure timely and accurate acknowledgement of all donations in coordination with the Membership and Database Manager.
- Support compliance with Canada Revenue Agency receipting and donor privacy requirements.
- Assist with preparing fundraising reports and tracking key metrics related to donor retention, upgrades and campaign performance.
Communications & Collaboration
- Assist with writing donor appeals, acknowledgements, and thank-you communications.
- Support internal and interdepartmental communications related to fundraising activities.
- Provide administrative and communications support to the Fundraising Lead and Fundraising Officer as required.
Events & Special Projects
- Provide administrative and logistical support for fundraising events and special initiatives, including on-air pledge drives.
- Assist with prospect research and the preparation of donor and attendee profiles as needed.
