POSITION PURPOSE:
Reporting to the Director of Philanthropy, the Fund Development Manager is responsible for soliciting and stewarding all gifts under $5,000 (from current and new individual, corporate and foundation donors), coordinating annual events, supporting third-party events, efficiently managing donor recognition, maintaining accurate donor records, and supporting fundraising activities. The Fund Development Manager has oversight of giving programs that target individuals at various giving levels and is responsible for communicating with individuals who donate $5,000 or less.
The position works closely with the Philanthropy Team to ensure that the financial goals of the organization are met and will represent the YWCA PH in public and one-on-one situations. The Fund Development Manager is fully responsible for their area of responsibility while working collaboratively as a dynamic team to meet annual revenue targets.
MAJOR RESPONSIBILITES:
Individual & Legacy Giving
- Lead individual and legacy giving at YWCA PH by meeting with donor prospects (under $5,000) and actively engaging them in a way that is authentic and meaningful; individuals are exceptionally stewarded with the intention to increase philanthropic support to meet development and organizational objectives.
- Manage a portfolio of prospective and current donors.
- Plan, develop, and oversee cultivation, solicitation and stewardship strategies for current and prospective donors, and working collaboratively with other members of the Philanthropy Team.
- Research interest, capacity and connections to develop a customized strategy for donors and prospective donors.
- Support major gift and legacy giving programs including the overall strategy, plan and case for support.
- Monitor progress, provides regular reports and initiates strategies and tactics with support of the Director of Philanthropy to achieve revenue, prospect and donor activity targets.
Donor Stewardship
- Share donor impact through prudent stewardship.
- Prepare donor correspondence, thank you letters, stewardship updates, prospect profiles, proposals and solicitation packages, etc.
- Actively contribute to the development of meaningful donor stewardship events and engagement opportunities for mid-level giving programs.
- Support a Relationship Manager approach and help YWCA PH's Senior Management Team to deliver on meaningful and memorable engagement of stakeholders and partners.
- Develop mini cases for support around key fundraising priorities.
- Serve as a YWCA mission ambassador by attending events in the community when requested to share YWCA mission impact and encourage involvement.
- Organize and integrate fundraising opportunities within YWCA PH’s signature and third-party events and works in collaboration with other Philanthropy Department staff to identify potential donors, outreach and engage in our work, and maintain above-industry standard retention benchmarks.
- Liaise with YWCA PH employees, clients and volunteers as needed to share inspiring stories that attract community giving.
Donor Database Lead
- Maintains the Donor Perfect database to ensure data integrity and reporting accuracy. Maintains all codes, table values and field definitions, duplicate records, including importing and exporting data files as required.
- Develops and ensures adherence to a naming and/or query folder structure.
- Creates and records new processes, ensuring accurate documentation reflects database configurations.
- Maintains database performance by troubleshooting problems.
- Ensures that data is maintained in accordance with security and privacy compliance standards, as well as CRA guidelines.
- Assists in training staff on database use, data entry standards, and security practices.
- Supports fundraising and communications campaigns and initiatives through segmented data for email campaigns and mailings. Supports user access and permissions to ensure appropriate levels of data access.
Administration
- Enter gifts received through various channels, including the YWCA Website, Canada Helps, cheques or cash, EFT, Credit Card, Bank, Staff Payroll, Stock or Security donations, Instacharge, Benevity, and Raisin.
- Generate acknowledgment letters and receipts in compliance with Canada Revenue Agency guidelines, ensuring timely and accurate delivery to donors.
- Prepare, process, and mail personal thank you cards for donations under $5,000.
- Regularly monitor team communication channels, addressing inquiries and requests promptly and professionally.
- Process immediate gifts and requests for information received via calls, visits, or e-mails. This includes arranging donation drop-offs and coordinating donations to be distributed to the appropriate location.
- Coordinate and manage outgoing mail, including donor correspondence and fundraising materials.
- Conduct thank you calls for all donations over $25 and under $5,000.
- Ensure donor information is up-to-date including researching obituaries and updating donor records accordingly and proactively contact donors to update payment information, ensuring continuity of monthly contributions.
- Generate and distribute annual tax receipts for monthly donors, ensuring compliance with Canada Revenue Agency guidelines.
- Utilize online tools and resources to enhance donor profiles and update records in the Donor Perfect system. Regularly review and update donor information, maintaining the integrity of the donor management system.
QUALIFICATIONS:
- Post-secondary degree in a relevant field with 4+ years’ experience in a charitable fundraising environment.
- CFRE is an asset.
- Demonstrated experience developing and executing successful annual giving programs, community fundraising initiatives, and corporate relations.
- Experience with communications.
- Skilled at building relationships and establishing trust.
- Strong written and verbal communication skills.
- Advanced understanding and commitment to quality service and best practice.
- Detail-oriented.
- Ability to deal with sensitive and personal information in a confidential manner.
- Acts with integrity, trustworthiness, humility, transparency and compassion.
- Multi-tasking ability required.
- Experience managing volunteers.
- Strong customer service orientation.
- Self-directed with an ability to organize, plan and prioritize.
- Flexible, adaptable and responsive to change.
- Ability to manage tight deadlines and infrequent periods of high intensity in work.
- Understanding of feminism and women’s-based organizations an asset.
- Must have valid Ontario driver’s license, insurance coverage, and reliable access to a vehicle.
- A satisfactory Criminal Reference Check with Vulnerable Sector Screening is required.
- The YWCA Vaccination Policy requires all employees to be fully vaccinated against COVID-19. Valid exemptions pursuant to the Ontario Human Rights Code will be assessed on a case-by-case basis.
