We are seeking an experienced, independent Full-Charge Controller to manage our end-to-end accounting operations on a contract basis. This role combines operational transactional processing with controller oversight. As a one-person finance operation, you will manage day-to-day bookkeeping, process payroll, maintain internal controls, lead month-end close, and reconcile project-level financials across our organization.

We are looking for someone who is collaborative in nature, proactive, and a strong team player. Beyond maintaining accurate ledgers, you will partner with leadership to support optimizing our financial processes for efficiency, expense tracking, and clear visibility.

Key Responsibilities

We are seeking an experienced, independent Full-Charge Controller to manage our end-to-end accounting operations on a contract basis. This role combines operational transactional processing with controller oversight.

As a one-person finance operation, you will manage day-to-day bookkeeping, process payroll, maintain internal controls, lead the month-end close, and reconcile expenses.

Key Responsibilities

  • Day-to-Day Accounting Operations:
    • Manage Accounts Payable, ensuring proper approvals and coding.
    • Execute customer billing, Accounts Receivable tracking, and contract-based invoicing.
    • Process bi-weekly payroll and payroll administration
    • Perform monthly bank and corporate credit card reconciliations
  • Project Accounting & Month-End Close:
    • Own the complete month-end close cycle and general ledger maintenance in QuickBooks Online.
    • Allocate direct costs, staff time, travel, and consultant fees across
    • Reconcile prepaid expenses, deferred revenue, accrued liabilities, and HST filings.
  • Reporting & Compliance:
    • Prepare monthly financial statement packages (P&L, Balance Sheet, Cash Flow) and budget-to-actual variance reports for leadership.
    • Maintain compliance calendars for HST remittances, statutory payroll taxes, workers' compensation, and corporate filings.
    • Prepare clean audit schedules and working papers for year-end audit readiness.

Qualifications

  • Experience: 10+ years of progressive accounting experience acting as a Full-Charge Bookkeeper, Senior Accountant, or Controller.
  • Non-Profit & Project Costing: Background working with Canadian non-profits with project budgets and grant requirements
  • System & Software Expertise: Proficient with modern cloud accounting platforms, automated A/P workflows, digital corporate cards, and payroll systems. Please indicate if you require further detail about the technical applications being used in order to determine suitability.
  • Mindset & Communication: Highly proactive, collaborative, and communicative, with a track record of improving operational financial processes.
  • Designation: CPA designation preferred; senior accounting background or equivalent full-charge non-profit experience required.
  • Engagement Structure: Must operate as an independent contractor (incorporated or registered business in Canada) capable of delivering outcomes under a fixed monthly retainer, recognizing cyclical nature of the work and certain process improvements are required.
