Position Type: Full-Time (35 hours per week)
Remuneration: $26- $28 per hour

Reports to: Director of Finance & Administration
Position Summary
The Finance Coordinator is primarily responsible for managing payroll functions and providing financial operational support. This role also acts as a secondary point of coverage for the Director of Finance & Administration during periods of absence, ensuring continuity in financial operations. Key responsibilities include payroll processing, bookkeeping, reviewing financial applications, and recommending efficiencies in financial processes.
Key Responsibilities
- Payroll Administration (Primary Responsibility)
- Prepare, process, and verify Semi-monthly payroll and benefits for all staff with a high degree of accuracy.
- Maintain and reconcile payroll records and statutory deductions.
- Responsible for remittances to the government, WSIB payment, EHT and any payroll related issues with the Service Canada.
- Ensure compliance with employment legislation, organizational and financial policies and controls.
- Generate payroll reports and ensure payroll entries are properly recorded in the accounting system.
- Respond to payroll-related inquiries from staff professionally and promptly.
- Responsible for ensuring Payroll schedule is followed, including EFT transfer completed as per payroll schedule.
- Prepare, process, and verify Semi-monthly payroll and benefits for all staff with a high degree of accuracy.
- Bookkeeping & Financial Record Keeping
- Maintain accurate and up-to-date financial records using accounting software.
- Process accounts payable and accounts receivable, ensuring timely billing and payments.
- Reconcile bank accounts, credit cards, vendor statements, and petty cash.
- Support month-end and year-end closing processes, including journal entries and account analysis.
- File and maintain complete documentation for financial audits and compliance requirements.
- Maintain Fixed Asset Register and Depreciation.
- Review of Financial Applications & Funding Documentation
- Review financial information for program applications, subsidies, or client funding support.
- Verify accuracy, completeness, and eligibility of financial documentation submitted by clients or program teams.
- Assist with reviewing and creating budgets and financial statements.
- Track program expenditures to ensure compliance with ftnder requirements and approved budgets.
- Collaborate with program staff to address financial gaps or documentation issues.
- Financial Reporting & Efficiency Improvements
- Assist in preparing internal financial statements, budget updates, and variance reports. Identify opportunities to improve financial processes, procedures, and workflow efficiency.
- Recommend enhancements to internal controls to strengthen financial accuracy and accountability.
- Support preparation for annual audits, providing documentation and responding to auditor inquiries.
- Coverage for Director of Finance & Administration (Secondary Responsibility)
- Provide operational support and temporarily oversee financial frnctions during the Director of Finance and Administration's absence.
- Maintain continuity ofcritical financial processes such as payroll, accounts payable, funder reporting, and cash flow monitoring.
- Communicate with internal departments and external stakeholders to ensure smooth financial operations.
- Any other related duties assigned by the Supervisor for the interest of the RWC.
- Preferred: A university degree in Accounting, Finance
- Minimum 2—3 years of practical experience in payroll and bookkeeping using Sage 300
- Experience in the nonprofit or community service sector is an asset.
