Reporting To: Executive Director
Salary and Hours: Part-Time (2 days per week) $30/hour

Psychiatric Survivors of Ottawa (PSO) is a member-driven, peer-run, local non-profit organization specializing in mental health and substance use health peer support services. We believe that people with lived and living experience can create connections and build community by supporting each other through our shared experience of accessing support/s through the mental health system. Our organization and services are created by and offered by peers with their own lived and living experience in mental health and/or substance use health.
We are currently recruiting a Finance Coordinator to provide financial oversight, reporting, and compliance support in collaboration with our Executive Director and external bookkeeper (on-site twice per month).

About This Role
As Finance Coordinator, you will review payroll and payables, prepare monthly budget vs. actual financial statements and expense reports, and support the Executive Director and Board with financial reporting. You will lead budgeting and audit preparation, ensure compliance with funder and statutory reporting, and provide financial budgets for funder proposals. You will also lead the update and modernization of PSO’s financial systems and processes, streamline reports and data sources, and create efficiencies.
Key Responsibilities
- Payroll & Payables Oversight
- Provide oversight to the external bookkeeper; set coding standards and review entries for accuracy and completeness.
- Review semi-monthly payroll prepared in Dayforce/Powerpay by the bookkeeper.
- Validate timesheets, vacation and leave balances, and Records of Employment (ROEs).
- Review vendor invoices, cheque runs, and credit card reconciliations for accuracy and coding.
- Prepare/review year-end T4s, T4As, and other statutory filings.
- Funder Compliance & Filings
- Complete quarterly and year-end reporting (Ontario Health MSAA, ARR, United Way, etc.).
Support development of funding proposals by preparing financial projections, budgets, and financial narratives. - File statutory submissions including CRA T3010, HST/GST rebates, and other compliance reports.
- Ensure insurance certificates, compliance declarations, and funder confirmations are submitted as required.
- Complete quarterly and year-end reporting (Ontario Health MSAA, ARR, United Way, etc.).
- Financial Reporting & Analysis
- Prepare monthly financial statements for the Executive Director and Board, including variance analysis against budget.
- Provide forecasts and recommendations on reallocations, hiring, or program spending opportunities.
- Monitor organizational cash flow to ensure sufficient liquidity and support timely decision-making.
- Budgeting & Audit Preparation
- Lead the annual budgeting process in collaboration with the Executive Director and program leads.
- Provide monthly budget vs. actual reporting and expense reports to the ED and program leads.
- Prepare schedules and supporting documentation for the annual audit and liaise with external auditors.
- Advisory & Process Support
- Translate financial information into accessible updates for program leads and the Board.
- Develop or refine financial policies and processes to support effective operations.
Flexible hours are sometimes required for meeting funder deadlines, preparing Board reports, and year-end audit.
As directed by the Executive Director, provide support for additional organizational needs.
Skills & Experience
- Minimum 3–5 years of accounting experience within non-profit or charitable organizations is required.
- CPA designation is a strong asset.
- Strong knowledge of payroll and funder reporting.
- Experience with accounting systems (Sage/QuickBooks) and payroll platforms (Dayforce/Powerpay).
- Ability to communicate financial information clearly to non-financial staff.
- Strong organizational skills, independence, and collaborative spirit.
- Lived experience with mental health and/or substance use is a strong asset
- Must be able to obtain a Vulnerable Sector Check
- May be required to obtain appropriate medical clearances including up todate vaccinations and tuberculosis testing (Medical exemptions will be considered on a case-by-case basis)
- Driver’s license and access to a vehicle is an asset
