Senior Manager, Finance & Administration

As a senior leader within the organization, the Senior Manager, Finance & Administration plays a critical role in maintaining our financial health, supporting strategic decision-making, and overseeing essential operational systems. This position is ideal for a finance professional with deep knowledge of nonprofit financial practices, a collaborative leadership style, and the ability to thrive in a dynamic, mission-focused environment.

Report to: This position reports directly to the Chief Executive Officer (CEO)

Key Duties and Responsibilities of this position include:

Financial Management & Reporting

  • Prepare and review monthly, quarterly, and annual financial statements.
  • Ensure compliance with accounting standards and legal requirements.
  • Oversee accounts payable/receivable, payroll, and general ledger maintenance.
  • Lead annual audits and liaise with auditors and finance committees.
  • Manage cash flow, budgeting, and financial forecasting.

Budgeting & Grant Management

  • Develop and monitor organizational budgets in collaboration with department heads.
  • Ensure financial reporting requirements are met for grants and funders.
  • Support grant applications with budget and financial data.

Risk & Compliance Management

  • Monitor and update financial policies, internal controls, and risk management practices.
  • Ensure compliance with regulatory bodies (CRA, payroll taxes, charitable status).
  • Manage insurance policies and coverage.

Payroll & Benefits Management

  • Oversee payroll processing and employee benefits administration.

Administrative Oversight

  • Manage vendor relationships, contracts, leases, and service agreements.

Strategic & Board Support

  • Provide financial analysis and reports to the CEO and Board.
  • Participate in strategic planning and policy development.
  • Support board finance committees and attend board meetings as needed.

Education:

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field is required.
  • Professional accounting designation (CPA, CA, CGA, CMA) is strongly preferred.

Experience:

  • Minimum 15 years of progressive experience in financial management, preferably within a not-for-profit or charitable organization.
  • Demonstrated experience preparing financial statements in accordance with Canadian Accounting Standards for Not-for-Profit Organizations (ASNPO).
  • Proven track record managing budgets, audits, payroll, and financial reporting to boards and funders.
  • Experience supervising administrative functions such as facilities management, IT, or office operations is an asset.
  • Experience working with external auditors, government agencies, and funding bodies.
  • Strong knowledge of relevant legislation including tax, charitable status, payroll remittances, andcompliance requirements.

Skills:

  • Excellent leadership, communication, and interpersonal skills.
  • Strong analytical and problem-solving abilities.
  • Proficient with accounting software and Microsoft Office Suite (especially Excel).
  • Advanced knowledge and hands-on experience with: NewViews (preferred), Accounting Software, ADP Workforce Now, etc.
  • Ability to work collaboratively with senior leadership, board members, and diverse stakeholders.
