Facilities Administrative Assistant Volunteer

Position Title: Administrative Assistant Volunteer

Volunteer Type:   In Person

Location: 3333 Finch Ave East

Volunteer Hours: Monday – Friday 9am – 11:30am OR 12:30pm – 3:30pm

Volunteers Needed: 1

Reports to: Facilities & Property Management Director

Position Summary: 

Responsible for providing a broad spectrum of administrative support to the Facilities and Properties Department such as researching, reporting, vendor business relations, tenant relationship and meetings.

Duties/Responsibilities:

  • Assist with calling prospective tenants and residents.
  • Designing posters and notices.
  • Upload the tenant information to the system.
  • Review tenant records with support and file appropriately.
  • Files and track contracts record for vendor service contracts.
  • Assists with tenant’s engagement and support.
  • Assist with special assignments for project administration.
  • Maintains Bulletin Boards for notices on a regular basis.
  • Provides general administration support such as filing, assists with reading forms and photocopying.
  • Complies with the organization’s “Client Safety”, “Health and Safety” policy statements and “Risk Management” policy.
  • Able to deliver services in a safe and supportive manner.

Skill/Qualifications:

  • Able to speak Cantonese and/or Mandarin as an asset.
  • Communication and interpersonal skills, and ability to maintain confidentiality of information.
  • Some customer services experience an asset.
  • Computer skills with experience using Microsoft office including Word, Excel and Power Point.
  • Detailed-oriented with a focus on quality and accuracy.  
  • Organized, able to multi-task and prioritize, punctual and professional.
  • Professional telephone manners and strong interpersonal communication skills.
  • Ability to conduct research, analyze data and report.
  • Ability to work in a team environment and independently with minimal supervision.

Working Environment:

  • Primarily office environment, common facility areas (indoor /outdoor).
  • Sitting in front of the computer terminal for long periods of time.
  • May have frequent work interruptions.

Orientation/Training:

  • Volunteer Services will conduct orientation on organization’s policies and procedures, including COVID-19 measures.
  • IPAC Mandatory training for onsite positions – conducted by Volunteer Services.
  • Training: Training will be provided, including one-on-one sessions to ensure you are comfortable and confident in the role. 
  • Ongoing Support: Regular check-ins to ensure that volunteers feel supported and can provide feedback. 

Other: 

  • Vulnerable Service Sector Check screening is mandatory.
  • Proof of full vaccination or Medical Exemption Certificate is mandatory.
  • Must be 16 years or older.
