Description:

Terra Elysium is a Toronto-based not-for-profit organization delivering community-centred, arts- and culture-driven environmental programming in Neighbourhood Improvement Areas (NIAs). We are seeking a highly organized and analytical individual to join our team as an Executive Operations Coordinator.

This role works closely with the Executive Director and internal teams to support organizational operations, executive initiatives, and performance tracking across programs and projects. The Executive Operations Coordinator plays a key role in monitoring progress, supporting accountability, and ensuring that timelines, deliverables, and priorities are effectively managed across the organization. This position offers hands-on experience in nonprofit operations, project coordination, and performance monitoring.

Responsibilities:

Executive and meeting coordination

  • Support meeting preparation, scheduling, agendas, note-taking, and follow-up actions.
  • Attend meetings alongside the Executive Director as required and prepare clear post-meeting summaries.
  • Track decisions, action items, and timelines to support accountability.

Operations and initiative coordination

  • Support coordination of executive-led initiatives, programs, and partnerships.
  • Assist with tracking progress across multiple projects to ensure deliverables are met on time.
  • Maintain organized records of initiatives, timelines, and key milestones.

Performance tracking and reporting

  • Track performance indicators, progress updates, and outcomes across projects and initiatives.
  • Support the development and maintenance of internal tracking tools, dashboards, or reports.
  • Identify risks, delays, or gaps and flag them to the Executive Director.

Communications and documentation

  • Draft and organize internal documents, summaries, and operational records.
  • Support preparation of briefing notes, presentations, and internal updates.

Event and program support

  • Assist with planning and logistics for in-person and virtual events.
  • Support the Executive Director during events as required to ensure smooth execution.

Cross-team collaboration and process improvement

  • Work with team members across departments to support shared initiatives.
  • Identify opportunities to improve workflows, coordination, and operational efficiency.

Qualifications:

  • Availability for up to 15 hours per month, with flexibility around meetings and events.
  • Strong organizational, analytical, and time management skills.
  • Clear written and verbal communication skills.
  • Interest in nonprofit operations, project coordination, performance monitoring, or organizational leadership.
  • Comfort with documentation, tracking tools, and meeting note-taking.
  • Reliable and punctual, particularly for meetings and events.
