EXECUTIVE DIRECTOR

Sunrise Therapeutic Riding & Learning Centre, member of the Canadian Therapeutic Riding Association (CanTRA), is seeking an individual with experience in all aspects of leading a staff team and running a charitable organization, in addition to strong proven interpersonal and public relations skills. Exceptional public speaking experience, with the ability to engage prospective donors in supports of the charity's mission and vision. The chosen candidate will have managed an annual budget and worked successfully with the Board of Directors to achieve the KPIs identified in the Charity's Strategic Plan.

Position Description

The incumbent in this position reports to the Sunrise Board of Directors.

Provides strong staff leadership and is the primary representative for Sunrise Therapeutic Riding & Learning Centre in the program and community:

  • Community Outreach & Public Relations
  • Board Liaison & Support
  • Fiscal Management
  • Program Planning & Evaluation
  • Personnel Management / Human Resources
  • Operations & Facility Management
  • Ongoing Development Projects (programming)

Community Outreach & Public Relations

  • Act as the first point of contact for all public relations on site and in the community
  • Serve as primary spokesperson to constituents, the media and the general public
  • Attend community meetings relevant to the Sunrise mission and vision
  • Act as the major ambassador for the organization by meeting with individuals and community groups
  • Nurture existing donors and other Sunrise relationships and networks ongoing including personal thank you notes, phone calls, and Sunrise tours
  • Oversee marketing and other communication efforts

Expectations: That the incumbent is fully conversant with all aspects of Sunrise programs, operations and service delivery.

Personnel Management / Human Resources

  • Provide ongoing support and supervision for all direct report positions: Fundraising Coordinator, Head Instructor, Program Coordinator, Administrative Assistant, Life Skills Coordinator, Volunteer Coordinator, Maintenance Coordinator, and Camp Coordinator, (will also evolve to include Residence Coordinator)
  • Provide leadership and support to the staff team based on Sunrise’s Policies & Procedures
  • Ensure program coordinators have sufficient training, support and resources to achieve organizational goals
  • Lead regular staff meetings, encouraging input and discussion regarding progress, achievements, needs and future goals
  • Ensure compliance with current legislation in the areas of human resources, health & safety, and public health, and all regulated systems that are a part of Sunrise operations
  • Lead the hiring and termination of staff in conjunction with the Board of Directors
  • Develop job descriptions in consultation with the Board of Directors and pertinent committees
  • Ensure the confidentiality of all personnel records
  • Monitor staff performance in all areas of the program
  • Complete performance evaluations of all staff on a regular basis
  • Provide ongoing training opportunities for staff

Board Liaison & Support

  • In partnership with the President, provide advice and information to enable the Board to properly fulfill its governance function and to make informed decisions
  • Give direction and leadership towards the achievement of the organization’s vision, values, mission and strategy as provided by the Board of Directors
  • Provide staff leadership to achieve the organization’s Strategic Plan objectives
  • Report and work closely with the Board of Directors to seek their involvement in policy decisions, fundraising initiatives and new programming
  • Recommend timelines and resources needed to achieve the Strategic Plan Key Performance Indicators (KPIs)

Expectations: By maintaining ongoing communications with key staff members, ensure that all programs are delivered in a safe and effective manner and in line with the Sunrise Strategic Plan.

Fiscal Management in coordination with the Finance Committee

  • Prepare annual operational budget, and quarterly financial statements, for approval by the Board of Directors
  • Work closely with the Board of Directors and the Treasurer to ensure fiscal responsibility in regard to the approved budget, while ensuring in partnership with the Board, maximum resource utilization and maintenance of the organization in a positive financial position
  • Monitor expenditures on an ongoing basis in relation to budgets and track cash flow on a monthly basis
  • Constantly seek new avenues of funding to ensure ongoing program operations and sustainability
  • Identify, track deadlines and prepare written application drafts for annual grants in support of operations
  • Manage the Sunrise Scholarship/Subsidy Fund
  • Supervise the bookkeeping function, the monthly bank reconciliation, bank deposit, HST returns and tax receipting. Processing payroll on a bi-weekly basis, T4s and ROEs as necessary.
  • Lead the annual year-end audit, Charity Return and Annual Corporate provincial filing
  • Act as signing authority on cheques and on binding documents as per organizational policies

Expectations: There is ongoing communication with the board members, and particularly the Treasurer/Finance committee, regarding the financial health of the organization.

Operations & Facility Management

  • Ongoing oversight of daily operations and facility management complying with all pertinent laws and regulations such as provided by the Ministry of Labour, Ministry of Environment, Public Health and AODA
  • Be the first contact for emergencies outside of office hours
  • Ensure compliance with all current Health & Safety regulations
  • Supervise maintenance staff
  • Oversee the repair or replacement of equipment including appropriate budgeting and estimates
  • Ensure a regular emergency check system
  • Ensure maintenance and safety check routines for the buildings and equipment
  • Work with maintenance staff to set priorities and manage the ongoing operational needs of the organization
  • Maintain an ongoing Risk Assessment list in terms of physical plant and Sunrise liability

Expectations: Working closely with the Property Management Committee to ensure the staff provide high standards of facility maintenance.

Programming, Planning & Evaluation

  • Develop new policies and procedures and revise existing policies, to be approved by the Board of Directors
  • Oversee the design, administration and evaluation of programs in line with Sunrise’s Strategic Plan and approved goals and objectives
  • Meet regularly with senior program staff to track needs and progress
  • Meet with clients and their families for conflict resolution as necessary
  • Directly supervise the Life Skills Program
  • Identify, track deadlines and prepare written application drafts for annual grants in support of programs
  • Ensure compliance with Sunrise’s accrediting associations

Expectations: Work closely with the Board of Directors by frequently reviewing and discussing the Strategic Plan and ensuring that ongoing progress is made towards each new initiative.
