YBIB is a youth-focused Canadian charity supporting entrepreneurship, leadership, and
real-world skill-building for young people. We deliver programs and opportunities that help
youth build confidence, practical experience, and future-ready skills through mentorship,
community partnerships, and hands-on learning.
Placement Overview (Remote)
The Executive Assistant supports an assigned leader with scheduling support, meeting
preparation, documentation, and relevant administrative coordination. This is a strong
placement for a student who’s highly organized, professional, and interested in learning how
leadership and operations work behind the scenes in a nonprofit. Reports to: Assigned Leader (Director of Education & Programming or Board Chair or Executive
Director)
What You’ll Work On
1) Email, Documents & Internal Updates
• Draft and format emails, documents, and internal updates as assigned
• Support light document cleanup (clarity, structure, consistency)
2) Meetings, Notes & Follow-Through
• Prepare meeting notes and help track action items
• Support meeting prep (agendas, links, documents, reminders) as needed
3) Organization, Tracking & File Management
• Maintain trackers, files, and internal documents in an organized way
• Keep shared folders tidy and easy to navigate (labels, versions, templates)
4) Priority Support for Assigned Leader
• Support planning/admin tasks aligned with your assigned leader’s priorities
• Support coordination using Trello and Google Suite as assigned
• Coordinate quick updates via WhatsApp as needed
Deliverables (what success looks like)
• Clear meeting notes with action items that are tracked to completion
• Updated trackers and well-organized files that save the team time
• Reliable day-to-day coordination support that keeps priorities moving
Ideal Candidate
• College/university student completing placement hours in Business Admin, Office Admin, Nonprofit Management, Project Management, Communications, or a related
program
• Strong organization, professionalism, and attention to detail
• Comfortable using (or learning) Google Suite, Trello, Canva, and WhatsApp
• Able to handle confidential information appropriately
