Location: Newmarket (Hybrid – some in-person event attendance required)

Hourly Wage: $30.00 - $35.00/hour
Hours per Week: 24-28 hours

Job Overview
NACCA is seeking a highly organized and detail-oriented Executive Assistant to provide part-time support to the Executive Director.
This role involves a mix of executive administration, financial reporting, stakeholder coordination and program/event support. The ideal candidate will be proactive, professional and committed to NACCA’s mission and values.
Key Responsibilities
- Provide direct support to the Executive Director, including managing calendars, scheduling meetings and preparing correspondence.
- Assist with financial reporting, expense tracking and funder compliance documentation.
- Support program and event logistics, including scheduling, registration and communications.
- Serve as a professional point of contact for stakeholders, including government, funders and community partners.
- Provide occasional support to the Board of Directors, including meeting scheduling, preparing materials, or taking minutes as needed.
- Perform other administrative or coordination duties as may be required to support the Executive Director and NACCA’s organizational priorities.
Qualifications
- Diploma or degree in Business Administration, Office Administration, Nonprofit Management or a related field — or equivalent combination of education and experience
- 3–5 years of executive support experience, preferably in a nonprofit, public sector or government setting
- Strong financial literacy and experience with reporting, budget tracking or funder reporting
- Proficiency with Microsoft Office, Google Workspace, and Zoom/Teams
- Excellent organizational, interpersonal and communication skills
- Ability to manage sensitive information with discretion and professionalism
- Demonstrated cultural awareness and understanding of issues affecting Black communities in Canada, with preference for candidates with lived experience in African, Caribbean or Black communities

Compensation & Work Environment
- Hourly Rate: $30.00 – $35.00/hour, commensurate with experience
- Hours: 24-28 hours per week
- Contract: 1-year term, with potential for renewal
- Work Environment: Hybrid, with flexibility and some in-person event attendance required
