The mission of Cambridge Memorial Hospital Foundation is to inspire giving that will, in turn, inspire and sustain great local healthcare, when it's needed most. The need for advances in healthcare, diagnosis and treatment never ends. Our goal is to raise funds to acquire new technology and equipment that is not covered by government funding. We work in partnership with the hospital and our donors to raise funds to help upgrade, acquire, and replace equipment and technology to care for our community.

JOB DESCRIPTION
Executive Assistant to the Chief Executive Officer (CEO)
Position Summary
The Executive Assistant to the CEO is responsible for providing comprehensive administrative and operational support to the CEO and the senior leadership team of the Foundation. The role includes significant responsibility for governance support, including organizing Board and Committee meetings, preparing materials, maintaining accurate records, and serving as the liaison for all governance bodies. Additional responsibilities include staff onboarding, internal logistics, operational systems management, and finance tasks. The position requires strong organizational skills, discretion, and the ability to manage multiple responsibilities in a professional fundraising environment focused on supporting hospital equipment needs.
Key Responsibilities
- Provide proactive and confidential administrative support to the CEO and Senior Leadership, including calendar management, meeting coordination, document preparation, and cross-functional coordination.
- Oversee Board and Committee administration as primary liaison, managing logistics, communications, documentation, evaluations, recruitment, and compliance.
- Manage staff onboarding and recognition by coordinating logistics, maintaining documentation, and ensuring compassionate acknowledgement of milestones and life events.
- Coordinate the scheduling, onboarding, and task assignment for office volunteers, while maintaining service records, contact lists, and acting as the primary point of contact for volunteer inquiries.
- Oversee office supply replenishment, maintain inventory logs, and organize storage areas to ensure accessibility and efficiency.
- Manage and enhance SharePoint sites and libraries with consistent structure and version control while providing training and support to staff on effective usage.
- Coordinate logistics for staff meetings and gatherings, including scheduling, preparing materials, taking minutes, managing calendars, and room bookings.
- Coordinate internal support by maintaining operational policies and SOPs, serving as the main contact for support needs, tracking service requests, and overseeing automated team workflows.
- Other duties as assigned in support of the evolving needs of the executive team and organization.
Competencies
- Proven experience in executive support, operations, or administrative roles
- Prior experience supporting Boards or governance processes is an asset. The Foundation is committed to providing governance training to support success in this area.
- Familiarity with basic finance processes; experience in clerical finance support is an asset.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite, SharePoint, and workflow automation tools.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively across teams.
- Comfort with basic IT troubleshooting and coordinating external support.
- Demonstrated discretion, empathy, and professionalism in managing sensitive or confidential matters.

Hours of Work
Cambridge Memorial Hospital Foundation supports a progressive hybrid working model that seeks to balance time for collaborative engagement and independent work. Our typical work week is Monday to Friday (37.5 hours per week). Some evening and weekend work may be required.
Salary
A competitive compensation package including base salary, benefits including HOOPP and paid vacation, will be provided. The target hiring range for this position is $50,000 - $60,000. CMHF reviews and increases compensation annually based on performance, and the full salary range is $50,000 – $70,000.
