Join Empowered Futures as the Executive Assistant to the CEO and play a meaningful behind‑the‑scenes role in supporting coordination, communication, and organizational flow. Empowered Futures is a volunteer‑driven nonprofit dedicated to helping emerging adults build emotional intelligence, confidence, and resilience as they transition into adulthood through mentorship, education, and values‑based leadership.

As the Executive Assistant to the CEO, you will support the volunteer CEO in managing communications, scheduling, documentation, and cross‑team coordination. This role is ideal for someone who enjoys detail‑oriented work, thrives in collaborative environments, and wants to contribute to mission‑driven impact.

This is a volunteer position and does not create an employment relationship with Empowered Futures or any of its volunteer leaders.

Position Summary

The Executive Assistant provides administrative and coordination support to the volunteer CEO to help ensure smooth communication and organizational alignment. This role involves assisting with scheduling, documentation, meeting preparation, and cross‑functional coordination. The position is flexible, collaborative, and designed for individuals who want to contribute their skills in a volunteer capacity.

This role supports a volunteer CEO and operates within a volunteer‑led organizational structure.

Key Responsibilities

The following activities reflect typical volunteer contributions and may be adapted based on availability, skills, and interest.

  • Support coordination of the CEO’s calendar and assist with arranging internal and external meetings
  • Help draft, edit, and share agendas, notes, and presentations for executive and board‑related meetings
  • Assist in tracking action items and timelines across teams
  • Support communications and documentation related to board updates and special initiatives
  • Help maintain confidentiality and support the flow of sensitive information
  • Liaise with volunteer leaders, directors, and committee heads to support alignment and information‑sharing
  • Assist in preparing reports, proposals, and internal documentation for the CEO’s office
  • Help organize digital files and communications across Notion, Google Drive, and email
  • Support stakeholder engagement and relationship‑building activities when appropriate
  • Represent the CEO’s office with professionalism and a strong understanding of Empowered Futures’ mission

Qualifications

These qualifications reflect helpful experience for volunteers and are not employment requirements.

  • Post‑secondary education in Business Administration, Nonprofit Leadership, Communications, or a related field (or equivalent experience)
  • 5+ years of administrative or executive support experience is an asset
  • Experience supporting senior leaders (VP, SVP, C‑suite, or board‑level) is beneficial
  • Strong written and verbal communication skills
  • Highly organized, self‑directed, and detail‑oriented
  • Comfortable prioritizing multiple tasks in a remote, volunteer‑driven environment
  • Familiarity with Google Workspace, Notion, Slack, and Zoom
  • Professional, diplomatic, and trustworthy with sensitive information
  • Collaborative and people‑focused, with an understanding of volunteer‑led organizational dynamics
  • Passion for youth empowerment and mission‑aligned leadership

Volunteer Commitment

This is an unpaid volunteer role with a flexible, non‑binding recommended contribution of approximately 8–10 hours per week, depending on availability.
