We’re looking for an Executive Assistant who brings initiative, professionalism, and heart. Someone who thrives in a people-centered organization. Someone who can manage details, juggle priorities, and build strong relationships with ease.
You’ll support the CEO, the Board of Directors, and HR administration—all while contributing to a compassionate, values-driven team that serves the Bow Valley community.
Day to day responsibilities include:
Support the CEO
- Manage calendars, meetings, travel, and logistics
- Prepare correspondence, presentations, and briefing materials
- Track priorities and ensure follow up happens
- Coordinate donor stewardship and maintain accurate records
- Support expense submissions and documentation
- Act as a professional, welcoming first point of contact for staff, partners, donors, and community members
Support the Board of Directors
- Coordinate Board and Committee meetings, including agendas, minutes, scheduling, and logistics
- Prepare and distribute governance materials on time
- Manage Board onboarding and offboarding
- Support the Board Chair with scheduling and background information
- Maintain accurate governance documentation and archives
HR Administration
- Coordinate recruitment activities and new hire onboarding
- Maintain employee files and complete quarterly BambooHR audits
- Support payroll coordination and time approvals
- Liaise with contracted HR services
What We Want to See on Your Resume
- Experience supporting senior leaders or executives
- Strong written and verbal communication skills
- Proven ability to manage calendars, scheduling, and competing priorities
- Comfort working with technology, documentation, and administrative systems
- Experience in HR administration or office coordination (asset, not required)
- High level of discretion and confidentiality
